    The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is Step 1: $25.27- Step 17:$35.90. The budgeted salary or hourly range that the University reasonably expects to pay for this position is STEP 1: $25.27.

    About the Job

    This position will serve under the direction of the Executive Associate Dean of the School of Social Sciences, Humanities and Arts as the SSHA Dean's Office Operations Coordinator managing office equipment and supply orders; supervising SSHA Dean's Suite Reception students; maintaining records and inventory management; managing a range of administrative operations related to the smooth function in the SSHA Dean's office. The SSHA Operations Coordinator will be the point of contact for the Executive Associate Dean and any additional Associate Deans and will manage their scheduling; draft, review, and send communications on behalf of the Associate Dean(s); organize and prepare for meetings; including gathering documents and attending to logistics of meetings; answer and respond to phone calls, communicate messages and information to the Associate Dean(s); prioritize emails and respond when necessary; coordinate travel arrangements; and maintain various records and documents for Associate Dean(s). The Operations Coordinator will play a crucial role in supporting the efficient functioning of the SSHA Dean's office by managing day-to-day operations, facilitating communication, and coordinating various administrative tasks.

    KEY RESPONSIBILITIES

    • Operations: Supervises Dean's Reception student employees. Independently selects, trains, and assigns duties. Ensures accuracy, quality, and timeliness in the completion of clerical and administrative duties. Ensures staffing of the SSHA reception office during open hours and at campus events. Plans, coordinates, and collaborates on the implementation of a variety of meetings and activities. Equipment Management: Maintains the organization's equipment inventory (theft sensitive and high valued) and is the primary liaison on equipment management; participates in audit reviews on SSHA's equipment assets worth $5,000 or more and will assist with compliance with UC and UCM policies. Collects equipment and university property from separating faculty or staff. Coordinates custodial services to clean out the vacant offices. Place monthly in-house Orders for the SSHA Dean's Office. Provide incoming staff with equipment: laptop, monitors, keyboard, mouse, docking station, and headset. Requests printing access for faculty, staff, and grad students.
    • Admin Support: Manages records and compile information/data into reports. Coordinates/schedules and facilitate meetings. Provides support with scheduling room reservations and other meeting logistics. Creates meeting agendas and minutes. Creates and disseminates surveys and provide data analysis and reports. Collects and submits requests on behalf of the Associate Dean(s). Provides follow-up and track the action items from meetings to ensure the items are completed. Manages lists of dates and deadlines established by the campus. Assists with purchasing and travel for designated administrative staff. Creates and maintains spreadsheets and reports on behalf of the Associate Dean(s). May include event support, as needed.
    • Financial Tasks: Provides Associate Dean(s) with administrative support as they administer the financial affairs of the school, including assistance with budget account reconciliation and coordination with the Dean's office financial staff. The budgetary duties will be transactional in nature, and the Operations Coordinator will work closely with the financial staff of the school, division, and/or department.
    • Under the direction of the SSHA Associate Dean(s), implements and maintains efficient local processes. The Operations Coordinator will be the point of contact for the Associate Dean(s) and will maintain an archive of documents, flyers, brochures, communications, and other related material. Other administrative duties, as needed.

    Qualifications

    EDUCATION and EXPERIENCE

    • High School Diploma, General Equivalency Degree (GED), or High School Equivalency Diploma (HSED) or equivalent. (Required)
    • Bachelor's degree from an accredited university. (Preferred)
    • Three (3) years of administrative/clerical work experience, or the equivalent years of work experience which have led to the development of the skills, knowledge, and abilities essential to the successful performance of the duties assigned to the position is required. (Required)

    CRITICAL KNOWLEDGE AND SKILLS

    • Working knowledge in administrative procedures and processes including word processing, spreadsheet and database applications
    • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
    • Solid organizational skills and ability to multi-task with demanding timeframes.
    • Working knowledge of common organization-specific and other computer application programs.
    • Interpersonal skills with the ability to use discretion and maintain confidentiality.
