We are currently looking for a dynamic and highly organized Operations Coordinator & Executive assistant. Our business involves manufacturing products we design overseas and delivering them to the market in the US via our direct to consumer website and to retailers via our wholesale sales team. We operate in a cannabis-adjacent space (vape hardware), and are preparing for significant growth over the next 12 months. We envision this position starting part time and growing into full time over the next few months, but are flexible depending on what you bring to the table. Meaning we could move to full time faster to accommodate the right candidate.

Responsibilities:
- Assist with operational tasks to ensure smooth & efficient business operations
- Perform gather data and produce daily reports for marketing and sales teams
- File and organize documents, both physical and electronic
- Coordinate travel arrangements and accommodations as needed
- Assist with inventory management and ordering
- Collaborate with other departments to ensure efficient workflow

Qualifications:
- Strong organizational skills with the ability to prioritize tasks effectively
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with QuickBooks or similar accounting software is preferred
- Excellent calendar management skills
- Attention to detail and strong data entry skills
- Ability to maintain confidentiality and handle sensitive information with discretion
- Excellent communication skills in English; fluency in Mandarin is a big plus
- Previous administrative and/or operations experience
- Experience or knowledge in accounting/QBO is an advantage
