Our opening for Operations Coordinator is to support Operations Department both in the office, warehouse and at show site in the performance of key administrative activities with primary focus on Tradeshow Production, Freight, Electrical & Safety support.
Responsibilities
- Data entry of inbound and outbound freight paperwork.
- Provide safety/incident documentation support for warehouse and showsite.
- Assist in completing proper billing practices and documentation of materials, labor, and rental equipment to ensure accurate invoicing, for the purpose of capturing all revenue.
- Provide assistance of the operational show team in the Countdown process for the purpose of developing Productivity Improvement Plans, Service Plans, and the clear documentation of process improvement opportunities to be reviewed in Post Show Meetings.
- Coordinate with the National Servicenter and Exhibitor Services department to ensure collection of all exhibitor booth diagrams and floor plans.
- Gathering info for PO’s and submitting PO requests on vendor order templates to central purchasing, including obtaining vendor quotes.
- Perform other duties as assigned and deemed necessary of the position under the direction of the Branch Manager/Warehouse Manager.
- Utilize electronic company applications for managing DOT information and driver hour logs.
- Ensure compliance with OSHA, DOT and Safety Requirements.
- Maintain truck books, ensuring legal documents and registrations are kept up to date.
- Process payroll documents as assigned. Utilizing electronic database to audit for accuracy and manage for weekly processing.
- Maintain monthly show labor schedules and disperse to crew and union dispatch.
- Process and verify union new hires at showsite and warehouse in accordance with State and Federal requirements.
- Assist with Integrated Implementation plans for assigned show portfolio to ensure planned labor and show margins are met or exceeded.
- Run show site reports and perform audits, for all lines of business.
- Support operations and exhibitor services in executing texting program.
- Enter freight receivers and assist with marshalling yard operations and freight desk check-in.
- Assist with managing freight shipments for GES customers, including routing to carriers.
Qualifications
- Valid Drivers License
- College graduate preferred/High School diploma required
- Knowledge of Tradeshow industry, preferred but not mandatory
- Excellent organizational and communication skills
- Proven verbal and written communication skills
- Detail-oriented
- Ability to effectively manage multiple projects
Work Environment
Working Conditions:
- Frequently performs work on the tradeshow floor, in noisy and crowded areas while enduring uncomfortable temperatures, dust and/or other conditions
- Must be available to work some nights, weekends and holidays, based on event calendar.
- Must have reliable transportation and be able to commute to Renton office daily, as well as job site locations around the Seattle/Tacoma area for scheduled events.
- Travel will be required within and outside of local region.
- Showsite activities can include long shifts in various weather conditions.
