The Operations Coordinator will be responsible for managing the administrative operations of the assigned division(s), focusing on invoicing/revenue, expenses, payables, vendor management, and HR assistance. This individual will have excellent organizational skills, an exceptional eye for detail, and a track record of successfully managing multiple tasks and projects in a fast-paced environment

Role Specific Responsibilities

· Collect field reports to create weekly customer billing spreadsheets, debit/credit memos, and invoices to send in a timely manner to customers on a weekly basis

· Maintains office services by organizing office operations and procedures, preparing payroll, controlling correspondence, designing filing systems, reviewing, and approving supply requisitions

· Monitor and manage field employee out of pocket expenses, ensuring adherence to the budget and tracking expenditures against established targets

· Manage payables, including tracking vendor invoices and ensuring timely payment

· Maintain vendor relationships, and assist with resolving vendor issues

· Provide HR assistance as needed, including quarterly random drug screenings of field personnel

· Provide administrative support to the operations team, including scheduling meetings, managing calendars; coordinate travel arrangements for operations management and field personnel, including flights and lodging

· Direct support of Controller and Finance/Accounting team with the completion of end of period closing procedures (Monthly/Quarterly/Yearly), including accruals

· General office needs including but not limited to answering phone calls, welcoming incoming guests, and new employees, preparing conference rooms for meetings

Skills & Knowledge Required:

· Strong organizational skills, with the ability to manage multiple tasks and projects simultaneously

· Strong attention to detail, with a keen eye for accuracy and completeness

· Ability to take direction and perform tasks requested by Operations or Project Managers, Controller, or Finance Team.

· Self-starter who takes initiative and possesses the ability to meet strict deadlines

· Excellent written and verbal communication skills

· Strong problem-solving and analytical skills

· Proficiency in Microsoft Office suite, particularly Excel and Word

· Experience with accounting software, SAP preferred

· Knowledge of HR processes and systems is a plus

Ability to work independently and as part of a team

Job Type: Full-time

Pay: $22.00 - $26.00 per hour
