    Summary: Experienced controller who oversees accounting team, such as accounts payable, accounts receivable, billing, collections, and all facets of accounting operations with internal control. Financial analyst that generates financial status reports and implements policies and procedures for reporting processes, to help improve operational efficiency and aid in continued growth. Reports directly to the President (owner).
    Essential Duties and Responsibilities:

    • Prepare financial documents such as business reports, financial forecasts, and statements to understand the financial state of business. Create reports when needed with specific margins and request. Provide financial analyses as needed, for capital investments, to help improve operational efficiency and aid in the company’s growth
    • Perform GL account reconciliations, monthly GL closing and journal entries for all entities, reconciliation of all intercompany accounts for all entities and payroll reconciliations. Also guide the staff with reconciliations
    • Implement and continue to add balance and checks to improve accounting and control errors and potential fraud. Practices and policies used to systematize accounting functions and follow the Generally Accepted Accounting Principles (GAAP) guidelines
    • Perform bank deposits (remote access) and bank reconciliations
    • Work with commercial estimating department to renew all contracts and handle all contract billings and related paperwork
    • Review customer accounts to place or remove a credit hold
    • Assist with customer problem resolutions
    • Compile and file all sales tax reports, highway tax files, multiple workforce reporting, DBL reports
    • Execute calls and emails to negotiate and collect commercial debt and initiate strategies for collection processes and procedures to include working with outside vendors if needed
    • Ensure all transactional activities are conducted smoothly not limited to payables, receivables, chart of accounts, debt payments, cash disbursements, accruals, reconciliations, etc., in all areas of accounting
    • Reporting and compliance manage and analyze financial statement, payroll, budget, tax and regulatory compliance
    • Assist management in budgeting process when implemented
    • Keep informed of current economics and laws pertaining to construction, lien laws, etc.
    • Supervise employees who work under the controller with internal controls. Empower employees to understand and participate to their full potential in their areas of expertness’ to feel value, and respect for their contribution in the operations of the company.
    • Spearhead auditing process (internal and external)
    • Participate in all insurance reviews, renewals and audits
    • Assists all remote locations (two others in NYS) with any accounting related needs
    • Recommend improvements to ensure the integrity of company’s financial information
    • Assess current accounting operations and offer recommendations for improvement and implementing new processes; make tangible improvements towards automation of repeatable, low-value and mundane tasks in accounting
    • Managing accumulation and consolidation of all financial data necessary for an accurate accounting of consolidated business results
    • Protect corporation’s value by keeping information confidential
    • Participates in and completes any other duties and responsibilities as assigned by immediate Supervisor
    • Follows all guidelines included in the Employee Handbook
    • Maintain internal safeguards for revenue receipts, costs, and team and organizational budgets and actual expenditures
    • Implement consistent accounting policies, practices, and procedures across all programs, adhering to national and local legal standards while remaining knowledgeable of proposed legislation
    • Develop and enforce internal controls to maximize protection of company assets, policies, procedures, and workflows.
    • Manage the month-end process and year-end process, with outside CPS service.
    • Establish, implement, and monitor appropriate internal controls and policies to ensure conformation and compliance with U.S. GAAP, and other statutory requirements.
    • Mange the various U.S. statutory tax requirements, real and property taxes, income tax, and sales and use tax.
    • Prepare work papers, ledgers, and financials to outside tax provider (CPA Firm) with the tax provisions in accordance with the annual compliance tax filings.
    • Oversee and support accounting team with dynamic leadership that creates an environment of trust and productivity.
    • Create and deliver Financials statements with required margins and percentages monthly. Create any reports and financials with specific requirements when needed. Timely deadlines are required.
    • Create and maintain processes for audit trail.
    • Responsible for AIA billing and utilizing all programs associated with AIA billings. Keep updated with all legal documents required for construction accounting. Works closely with project managers. Also, keep updated and invoiced with prevailing wage. Timely deadlines are required.
    • Collaborates with HR Manager regarding all payroll, and benefits for reporting accounting purposes. Will cover HR duties such as payroll, 401K, and benefits when HR manager is not available to process
    • Will cover complete duties of the accounting department when staff is out on leave
    • Help develop and support short- and long-term operational strategies
    • Develop, implement, and maintain financial controls and guidelines
    • Deal with collections company and legal for overdue receivables
    • Online banking and Quick Book updates
    • Update the president and team as necessary to have excellent communications

    Preferred Skills:

    • Experience with consolidations and intercompany transactions
    • Ability to calculate, post and manage accounting figures and financial records
    • Proficiency in MS Office, including the ability to operate computerized accounting and spreadsheet programs
    • Proficiency in Google platform (Sheets, Docs, etc.)
    • High degree of accuracy, attention to detail and confidentiality regarding data being reported
    • Excellent analytical, problem solving and decision making skills
    • Effective verbal, listening and written communication skills
    • Effective organizational, stress and time management skills
    • Demonstrates a sense of urgency and ability to meet deadlines
    • Ability to work independently or as a team member
    • Ability to work with a diverse group of people
    • Customer service and negotiation skills
    • Ability to analyze information
    Required Experience:

    • Accounting Degree
    • Strong understanding of banking processes and financial data analysis
    • Working knowledge of national and local tax regulations and compliance reporting
    • Experience in managing payroll, HR, and operations functions with focus on streamlining accounting processes, since all aspects of business effect knowledge of general accounting principles, regulatory standards and compliance requirements
    • Familiarity and experience working with multiple companies and intercompany transactions
    • Exemplary history of financial project management
    • Knowledge and experience in construction management and accounting specifically with AIA’s and all knowledge of legal documents
    • Ten or more years of experience as a senior-level accounting manager
    Work Schedule:
    The Controller generally works 40 hours a week, between the hours of 8:00am and 5:00pm, Monday through Friday. Additional hours to meet business needs may be necessary. Remote work is not currently an option.
