IT Procurement Administrator administers and coordinates activities and processes in the IT procurement function. Prepares RFI's and RFP's based on stakeholder and company requirements. Being an IT Procurement Administrator conducts sourcing activities to evaluate supplier pricing and offerings. Reviews contracts, terms, and service level agreements. Additionally, IT Procurement Administrator inputs and tracks procurement data. Facilitates the planning and coordination of equipment delivery, installations, upgrades, and changes. Typically requires a bachelor's degree or equivalent. Typically reports to a supervisor or manager. The IT Procurement Administrator work is generally independent and collaborative in nature.     Coordinates the procurement and distribution of materials, parts, equipment, and supplies for the organization by performing the following duties. Helps to establish and support adherence to certain purchasing guidelines based on the strategies and goals outlined by the Procurement department. Compose RFIs or RFPs. 

    Essential Duties and Responsibilities: 
    • Coordinates all activities related to procurement of a commodity beginning with intent to purchase through delivery.  
    • Analyzes the requirements of the commodity, including preliminary specifications, preferred supplier, and date commodity is needed.
    • Solicits and evaluates proposals for the requested commodity. 
    • Investigates and/or interviews potential suppliers to determine if they meet the specified requirements. 
    • Advises team members or management on the appropriate supplier to be used.  
    • Negotiates the lowest possible cost for the commodity balanced against the optimum quality and schedule needs.  
    • Implements purchase contracts that comply with company and government regulations. 
    • Assures that the commodity is delivered on schedule, at the negotiated price, and meets the quality standards of the company. 
    • Maintains timely control of orders, amendments, shipping notices, and other documents to assure accurate retention of records. 
    • Coordinates appropriate methods needed to distribute commodity in a cost effective manner. 
    • Other duties may be assigned. 
    Travel
    Some domestic travel may be necessary to visit vendors or potential vendors.
     
    Education and Work Experience
    Required
    • Bachelor's degree from four-year college or university.  
    • Three to five years related work experience.
    • Proficient knowledge of Microsoft Excel and Word
    • Strong verbal and written communication skills.
    • Strong ability to establish and maintain working relationships.
    Preferred
    • Fluency in Mandarin and English:
      • Able to Speak
      • Able to Read
      • Ability to translate from Mandarin to English 
      • Ability to translate from English to Mandarin
    • Working knowledge of formal information procurement procedures.
    • Familiarity with project management software, and project management skills.
