The Procurement Administrator plays a crucial role in overseeing the daily operations of the front desk and office management. This position has a pivotal role in ensuring the effective operation of the team.
Responsibilities include:
Procurement and Financial Management:
· Process requisitions forms for the Procurement and A/P teams.
· Manage and reconcile the P-card payments and transactions on the monthly statement.
· Maintain accurate and organized procurement documentation in the shared drive.
Supplier and Employee Onboarding:
· Facilitate the onboarding of new suppliers into the banner system.
· Collect and organize W-9, W-8 and Certificates of Insurance documents.
· Generate Dun and Bradstreet report for new suppliers.
· Onboard new employees to the travel and reimbursement platforms Egencia and Concur.
Operational Support and Budget Assistance:
· Collaborate with campus security to issue security passes for vendors authorized to do work on campus.
· Assist in the preparation of annual departmental budgets.
· Determine appropriate account number and track the departmental budget.
Administrative Duties:
· Respond to general inquiries and manage phone communications.
· Manage and coordinate meetings for the Executive Director of Procurement and Business Services
· Perform other duties as assigned.
Bachelor’s degree with 3 years’ experience required.
· Proficiency in e Pro software or Jagger/Sciquest
· Familiarity with ERP or Banner system
· Proficient in Microsoft office suite (Word, Outlook and Excel) and adept at learning new web based programs as required.
· Exhibits excellent judgement, initiatives and attention to details.
· Must be able to effectively track time and resources to prioritize work assignments with minimal direction;
· Capable of effectively prioritizing tasks with minimal direction and working independently to produce a high-quality work product.
· Comprehensive understanding of departmental and college policies and procedures.
· Uses independent judgment in responding to inquiries regarding policies, procedures, and regulations.
This role requires direct interaction with both internal and external stakeholders. Must possess strong people skills and the ability to deescalate difficult internal and external clients.
