IT Procurement Administrator administers and coordinates activities and processes in the IT procurement function. Prepares RFI's and RFP's based on stakeholder and company requirements. Being an IT Procurement Administrator conducts sourcing activities to evaluate supplier pricing and offerings. Reviews contracts, terms, and service level agreements. Additionally, IT Procurement Administrator inputs and tracks procurement data. Facilitates the planning and coordination of equipment delivery, installations, upgrades, and changes. Typically requires a bachelor's degree or equivalent. Typically reports to a supervisor or manager. The IT Procurement Administrator work is generally independent and collaborative in nature.   • Essential Functions:

    The Procurement Administrator supports project purchasing goals by performing critical tasks utilizing company policies, procedures and documents related to the procurement of equipment, materials, and services for construction projects, including document flow and communication.

    Responsibilities:

    • Setup New Projects in Procore (upload contract docs, specifications, drawings, OCIP, insurance sample, DIR#, Bond information, and ensure proper staff are listed on the Team page)
    • For each new project, update commitment forms (Subcontracts / Purchase Orders) as per the project requirements.
    • Maintain Insurance – obtain initial certificate and follow up with annual renewals as necessary (MyCOI is currently used by Alberici to support this task).
    • Maintain Contractor’s license and DIR#.
      • Support estimating efforts by obtaining Subcontracts DIR information for bid day.
    • Obtain New Vendor documentation (W9, Filanc New Vendor Form, verify Credit Application requirement) as needed.
    • Support PCR Handoff, and Weekly Buyout meetings.
    • Follow up on unsigned commitments and change orders with Subcontractors and Suppliers.
    • Communicate Supplier issues to Procurement Manager and Project Teams.
    • Process incoming commitment requests and track requests on PUR405 Commitment Status Tracker.
    • Process executed commitments and commitment change orders via the appropriate procedure using Procore / Viewpoint.
    • Provide support to the field related to submittal and material expediting and processing material returns.

    Skills/Qualifications:

    • A college degree highly preferred and/or 2 years’ experience in construction contracts / purchasing administration.
    • High school diploma required.
    • Proficiency in Microsoft Office suite (such as Outlook, Word, Excel, PowerPoint, etc.)
    • Must have good communication and mathematical skills.
    • Must have excellent customer service and interpersonal skills.
    • Strong attention to detail.
    • Ability to work independently and as part of a team.
    • Effective relationship building skills.
    • Procore and Viewpoint Experience a plus

    Working Conditions:

    All work is performed in the office environment, utilizing computers (frequent use of MS Office tools such as Word, Excel, and Outlook as well as Viewpoint and Procore) telephones, and general office equipment. Candidate will be required to communicate with coworkers and vendors frequently to accomplish the work.
