    The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is $37.12 - $46.46. The budgeted hourly range that the University reasonably expects to pay for this position is $37.50/hr.

    About the Job


    The Project Coordinator provides analytical and administrative support to senior project managers within Planning, Design & Construction Management, the department that manages capital projects for the campus. Projects are varied and include renovations, expansions, new facilities, and infrastructure, as well as landscape projects.

    The Project Coordinator collects, develops, and analyzes technical data to determine project requirements and prepares information regarding specifications, materials, equipment, estimated costs, and completion times. Coordinates and maintains schedules from the design phase, through construction and move-in. Oversees and ensures that all furniture, fixtures & equipment (FF&E) meet the contract requirements, coordinates installation, training, and close-out documents meet the contract requirements and are properly turned over to the appropriate entity. Maintains database archives of FF&E for all minor to major capital projects. Manages the day to day for the campus furniture program as it relates to furniture requests and liaising with furniture dealers, as well as developing scopes and coordinating installations.

    The Project Coordinator is a professional who applies acquired job skills, policies, and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity; exercises judgment within defined guidelines and practices to determine appropriate action.

    The Project Coordinator will assist Project Managers on large scale projects. With guidance, assists with minor and major capital design and construction projects. Maintains the project, ensures it meets the contract requirements, assist with procurement and scheduling, as well as coordination for install. Participates in design meetings, maintains, and develops meeting minutes, schedules stakeholder meetings, and maintains project files. Assist in the coordination and execution of space moves for major capital projects. Takes initiative to make recommendations to modify construction and design scopes to incorporate the needs of the project within the FF&E project.

    KEY RESPONSIBILITIES

    • The Project Coordinator is responsible for the input, management, and accuracy of all data for the campus furniture program. Responsible for generating reports and other queries as requested. Establish and maintain furniture log and other cloud-based data storage portals for the projects.
    • The Project Coordinator collects, develops, and analyzes technical data to determine project requirements and prepares information regarding specifications, materials, equipment, estimated costs, and completion times. Coordinates and maintains schedules from the design phase, through construction. Oversees and ensures that all furniture, fixtures & equipment (FF&E) meet the contract requirements, coordinates installation, training, and close-out documents meet the contract requirements and are properly turned over to the appropriate entity. Maintains database archives of FF&E for all minor to major capital projects.
    • The Project Coordinator analyzes, prepares, and drafts furniture plans for minor and major capital projects.
    • Performs furniture studies in AutoCAD, in alignment with building codes, specifically but not limited to accessibility, occupancy, and egress.
    • Packages drawings for permit submission to the building department.
    • Provides support in the planning, development, procurement, and installation of projects with workspace interior design, renovations, and for FF&E elements.
    • Schedule and facilitate FF&E installations with various campus stakeholders.
    • In accordance with University policies and procedures, develop, organize, access, maintain, and establish processes and guidelines for scopes related to Furniture, Fixtures, and Equipment.
    • Coordination of owner furnished equipment, move coordination, planning and execution as well as furniture system installations.
    • Maintains communication on a regular and timely basis ensuring that all project participants are informed of project status, next steps, and schedules. Provides accurate, timely cost estimates, and aids in the quote to PO process. Assist in supporting multiple projects and tasks simultaneously.
    • Attend meetings, take meeting minutes, transcribe, and distribute meeting minutes. Recommend changes and/or options to enhance or improve daily business processes and procedures. Assist other staff by facilitating questions and/or providing support.
    • Assist with miscellaneous departmental projects as requested or dictated by operational needs. Attend and participate in training. Other duties as assigned.

    Qualifications


    EDUCATION and REQUIREMENTS

    • Bachelor's degree from an accredited university in Architecture/Interior Design/Construction Management/Engineering or another related area.
    • One year of directly related, progressively responsible experience managing or coordinating construction projects, or 5 years equivalent experience/training as outlined. A masters degree is preferred, but may not substitute for the required experience.
    • Certified Interior Design (Preferred)

    CRITICAL KNOWLEDGE AND SKILLS

    • Excellent analytical and thinking skills to anticipate and identify issues and information requirements. Skill to apply appropriate research and analysis procedures. Ability to think logically, interpret data, and identify anomalies, trends, and potentially invalid data. Skill to make logical deductions and independently decide appropriate action where no clear guidelines are available.
    • Strong skills to organize work effectively to achieve timely progress on multiple simultaneous projects. Skills to maintain accountability and establish audit trails.
    • Knowledge of project administration, the construction industry, and construction/legal terminology.
    • Excellent oral and interpersonal communication skills to work as a team member to communicate in a pleasant, professional, and effective manner to handle difficult, sensitive, and/or confidential issues. Skills to work with diverse groups to achieve mutual cooperation.
    • Demonstrated ability to define problems, develop methodologies for solving problems, perform analyses and summarize findings, and develop and implement recommendations.
    • Working knowledge of word processing, spreadsheets, calendaring, project management, and document management database programs (Microsoft Word, Excel, Outlook, Project) in a Windows environment.
    • Drafting in 2D within AutoCAD for furniture plans and space planning.
    • Thorough understanding of building codes specifically as it relates to ADA, occupancy, and egress. (Preferred)
    • Experience working within BlueBeam.(Preferred)
    • Skills to research interpret and apply federal/state/university policies and regulations to meet department mission goals, and objectives.(Preferred)
    • Ability to provide information clearly, accurately, and succinctly for the appropriate target audience. Ability to instruct and train others. (Preferred)
