    POSITION SUMMARY

    The IT Project Administrator plays a crucial role in the planning, execution, and completion of IT projects within the organization. The position is responsible for coordinating various project activities, ensuring adherence to schedules, budgets, and quality standards. Additionally, the position serves as the liaison between project teams, stakeholders, and management to facilitate effective communication and collaboration.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    (Other duties may be assigned.)

    • Develop IT Project plans, schedules, and milestones
    • Coordinates with management and team members to ensure tasks are clearly defined, assigned, and scheduled
    • Monitors, identifies and proactively addresses potential risks and issues that may impact project- related objectives and develops the mitigation plan when applicable
    • Coordinates with IT Director/ Managers to allocate personnel, equipment, and materials for project tasks
    • Track resource utilization and availability to optimize project efficiency
    • Maintain project documentation, including plans, schedules, status reports, and meeting minutes
    • Generate regular progress reports and present to stakeholders and management
    • Ensure compliance with organizational policies and procedures
    • Facilitate communication among project team members, stakeholders, and management
    • Organize and conduct project meetings, including agenda preparation and follow-up on action items
    • Serve as a point of contact for project- related inquiries and issues
    • Assist in the development and implementation of quality assurance processes and standards
    • Monitor project deliverables to ensure they meet quality requirements
    • Develop test plans and coordinate testing and validation activities as necessary
    • Work with management and teams to develop risk mitigation strategies and contingency plans

    SUPERVISORY RESPONSIBILITIES

    • None

    MINIMUM QUALIFICATIONS, EXPERIENCE, AND KEY COMPETENCIES

    • Bachelor’s degree in Computer Science, Information Technology, Business Administration, or related field preferred
    • Three years of applicable experience preferred
    • Experience in project administration or management, preferably in an IT environment
    • Strong organizational and multitasking abilities with attention to detail
    • Excellent communication and interpersonal skills
    • Proficiency in project management tools and software
    • Knowledge of IT systems and technologies
    • Adaptability to changing priorities and deadlines
    • Ability to work independently and collaboratively in a fast-paved environment
    • Certification in project management (e.g., PMP, CAPM) is a plus

    TRAINING, LICENSES, REGISTRATIONS

    • Must be a citizen of the United States and authorized to work in the US
    • Must have a valid driver’s license and be able to operate a government vehicle
    • Ability to obtain and maintain a Department of Energy security clearance

    PHYSICAL DEMANDS

    • Must be able to meet physical capacity requirements of position as determined by the Occupational Medical Provider.
    • Must be able to wear company-provided personal protection equipment when required.
