PURPOSE:
Under the general direction of the EEIP Director of Finance and Business Operations, the incumbent will provide consultative support and services; technical advice and expertise; administer databases; and provide training and communication materials for the College of Extended Education and International Programs (EEIP).
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
Data Administration and Support:
- Administer databases and ensure that data sources are accurate and readily accessible to the user community. Design, implement and administer college databases along with all appropriate API integrations for different department automations. Oversee the development and maintenance of appropriate databases and mailing lists to target students.
- Build and maintain external websites outside of CSUMB.edu including flipbooks, applications, webpages and websites. Maintain College of Extended Education external server (CSUMBEEIP.com).
- Design, develop and administer the College's Customer Relations Management System. Administer transitional downloads and communication between systems (currently Airtable and Oasis). Build and maintain all current dashboards and tables to support EEIP programs for reporting purposes. Implement the integration of daily and on-going marketing and communication. Assist Marketing Specialist in monitoring application and lead data.
- Oversee the maintenance of web presence for all EEIP programs. Monitor and report on web & social analytics. Recommend and implement streamlined information pathways, and develop new websites (within existing content management system). In collaboration with relevant staff, oversee the maintenance of all EEIP websites with accurate information.
- In coordination with EEIP marketing staff, assist with inventory management of collateral and promotional materials.
User Support:
- Provide consultative support and services to the user community to ensure problem resolution, system/data access, and optimal system performance.
- Assist users to develop or use applications and software packages and their features.
- Install, configure, and modify applications, databases, and other systems.
- Administer all digital permissions access for computer systems across the College.
Resource Evaluation and Needs Analysis:
- Provide technical advice and expertise in the evaluation, purchase, upgrading, and maintenance of software and/or hardware resources.
- Develop future program applications integrations as needed and administered the current implementation of software products (such as Symplicity) to manage application process for international students and CSUMB study abroad students.
- Identify business practices and procedures to maximize efficiency and reduce the time required to enter and update data.
- Research available products and systems and recommend alternatives to meet identified needs.
Training:
- Provide training and communication materials to users that maximize their ability to utilize system capabilities, features, and other resources.
- Train staff on the input and retrieval of information from College databases and Customer Relations Management System including the development and maintains of forms used to capture data.
- Prepare procedures and training documents to support user needs.
Other Functions:
Performs other job-related duties and special projects as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge: Knowledge of information technology systems and/or applications, including campuswide systems and multimedia environments, access procedures, networks, and/or databases. Knowledge of data administration principles and techniques. Knowledge of network administration. Knowledge of training theory and practices demonstrated by an ability to develop and deliver technical training and User documentation. Knowledge of statistical and/or research databases.
Skills: Proficiency using standard software packages. Demonstrated interpersonal and communication skills in working with users to interpret needs and provide appropriate solutions. Subject matter expertise in a specialized discipline or body of knowledge.
Ability: Ability to apply consultative skills to assess user needs and provide appropriate support. Ability to integrate multiple applications and/or systems. Ability to analyze data requirements and research data availability and access methods. Ability to coordinate and implement data exchanges and conversions.
MINIMUM QUALIFICATIONS:
A basic foundation of knowledge and skills in technical information systems and application program packages is a prerequisite for this position. This foundation would normally be obtained through a bachelor's degree in computer science, information systems, educational technology, communications, or related fields, or similar certified coursework in applicable fields of study.
SPECIALIZED SKILLS:
Experience with spreadsheet, database, e-mail, social media, and web analytics.
PREFERRED QUALIFICATIONS/DESIRABLE EXPERIENCE:
Experience in a higher education or related environment. Experience in technical support for online advertising coordination, SEO analytics, website development and security protocols, web content management, scripting languages such as PHP/LARAVEL, HTML, and Javascript, SQL databases, and cross-platform application workflow automation with products such as Zapier. Technical fluency with Microsoft Office Professional Suite, and Google products (mail, calendar, Drive, analytics). Demonstrated understanding of and commitment to CSUMB's Vision.

- This position is designated at a Campus Security Authority (CSA) and will be required to participate in annual training and to immediately forward to the Clery Director all reports of crimes brought to their attention pursuant to the Clery Act and California State Education Code, Chapter 16, of the Donahue Higher Education Act, Section 67380.
- This position is required to comply with confidentiality requirements outlined in the Department of Education's Family Educational Rights and Privacy and California's Educational Code Chapter 13 regarding sensitive student issues.
- May require occasional evenings and/or weekend work.
PHYSICAL ENVIRONMENT:
Office environment with standard equipment and tasks. Position requires working at a computer and desk for extended periods of time. May require travel between campus offices and off-campus locations.
