We are seeking a highly organized and detail-oriented Office Administrator and Bookkeeper to join our team! The Office Administrator and Bookkeeper will be responsible for overseeing the day-today administrative operations of our office and must be proficient in QuickBooks and Microsoft Office. This role requires strong organizational skills, attention to detail, dependability, confidentiality, and the ability to work independently.

Schedule: We offer flexible hours and PTO for this position! We are ideally looking to bring someone on for 30-36 hours per week working a Monday-Friday schedule.

Duties include but not limited to:

• Perform double entry bookkeeping tasks, including managing accounts (Personal and Business) payable and receivable in QuickBooks Desktop Pro.

• Process payroll and ensure accurate and timely payments to employees through HR Services.

• Conduct account reconciliation and general ledger reconciliation to ensure accuracy.

• Maintain accurate records of financial transactions, debits, and credits.

• Prepare and analyze financial reports, including balance sheets, income statements, and cash flow statements.

• Handle tax-related responsibilities, including filing monthly sales tax with the Florida Department of revenue.

• Able to communicate effectively with customers.

• Skills in vendor and subcontractor information and 1099s.

• Manage and collection of monthly payments.

• Ability to breakdown receipts and invoices to categorize expenses to specific jobs and scopes of work.

• Oversee Business Insurance and loan information.

• Conduct annual general liability insurance audits and annual business licenses and corporation filing.

• Work with Corp Accountant for document preparation and end of year financials.

• Manage office supplies inventory and place orders as needed.

• Ability to proficiently use Microsoft Word, Excel, and Outlook.

• Ability to manage monthly payments of vendors and clients.

Experience:

• Proven experience in office administration or related roles.

• Strong knowledge of bookkeeping principles (experience in rental management and construction bookkeeping is strongly preferred but not required)

• Familiarity with payroll processing.

• Proficiency in corporate accounting tasks, including financial statement preparation.

• Experience using QuickBooks and Microsoft Office.

• Excellent attention to detail and accuracy in record keeping.

• Strong organizational skills and the ability to prioritize tasks effectively.
