Job Function:
- Provides support to the English/Philosophy Department Chair

Manages confidential student and faculty information
-
Maintains electronic files and forms for department use/access
-
Enters and monitors faculty workload
-
Enters master schedule edits into templates each semester
-
Submits master schedule change requests
-
Completes SIZFAC4 student conversion hours worksheet each semester

Assists chair with approval of faculty leave reports, sends reminders to faculty to submit
-
Assists in finding coverage for classes when needed, submits Faculty Leave forms
-
Generates department faculty schedule spreadsheet each semester from Banner.

Estimates expenses and works on the annual budget development process
-
Orders office supplies and maintains inventory
-
Submits all purchase requisitions, check requests for department, monitors budget
-
Responsible for reserving rooms for meetings/events for department
-
Responsible for ordering/planning food for events/meetings for department with Sodexo
-
Handles Personal Services Contract/Honorarium/Travel for guest speakers within department
-
Responsible for posting faculty/adjunct job descriptions to PeopleAdmin, works with hiring committee chair to ensure paperwork is submitted

Assists new faculty in navigating procedures within the college/department, assigns office
-
Responsible for ensuring all department printers, copiers, fax and scanners are in working order

Responsible for all office moves within department
-
Initiates all work orders for department (e.g. technical, Facilities, Building Services)

Assists RTP chair with organizing retention, tenure, promotion information and completed packets for full-time faculty
-
Assists Adjunct Coordinators in keeping track of adjunct hours, evaluations, promotions.

Works with Foundation and MCC Association to utilize and maintain scholarships and funds
-
Assists committee chair(s) with annual student writing contests including advertising, awards, planning award reception.

Records and distributes minutes of monthly department meetings

Assists faculty with travel forms and guidelines
-
Follows up on inquiries from students, college personnel, public; is the initial point person for the department

Registers students, submits overrides in INB

Initiates administrative support as needed to ensure a department of approximately 40 faculty runs smoothly

Requirements:
Required Qualifications:
- Must currently hold the title of Secretary II and be reachable on the Monroe County Civil Service eligibility list titled Secretary II OR meet the following for provisional* appointment:

MINIMUM QUALIFICATIONS: Graduation from high school or possession of an equivalency diploma, plus EITHER: (A) Three (3) years paid full time or its part time equivalent office secretarial experience; OR, (B) Graduation with a diploma or certificate from a school of business or business institute with a major in Secretarial Science, Word Processing, or a related area, plus two (2) years of experience as defined in (A) above; OR, (C) Graduation from a regionally accredited or New York State registered college or university with an Associate's degree in Secretarial Science or related area plus one (1) year of experience as defined in (A) above; OR, (D) Graduation from a school of business or business institute with an Associate's degree in Secretarial Science, plus one (1) year of experience as defined in (A) above; OR, (E) Any equivalent combination of education and experience as defined by the limits of (A), (B), (C) and (D) above.

Preferred Qualifications:
- Bilingual and able to read, write, and speak Spanish, or other languages, proficiently
Additional Information:
Job Type: Permanent, Full-time
Hours: Monday - Friday, 8:45am - 4:45pm
Salary: $37,604.44 (eligible for increment at six months of service and a 2.75% increase effective 9/1/23)
- The term provisional means that you will be required to take the next Civil Service examination for this title, and place among the top three (3) candidates on the examination list in order to be eligible for permanent appointment.
MCC is currently testing a Pilot Telecommuting Program that runs from October 25th, 2021 to June 30th, 2023. Under the pilot program, this position may be eligible for remote work up to 5 days per pay period pending departmental need and leadership approval. The pilot program may be extended or terminated at any time at the College's discretion.
