POSITION SUMMARY:
This position’s primary function is to create a positive and seamless application/intake process for the Oneida Vocational Rehabilitation (VR) Program. This position is responsible for providing program information and, reviewing client’s documentation for potential to receive services This position manages the purchasing process for the program and ensures compliance with the Nation’s policies. This is a grant funded position. Continuation of this position is contingent upon funding allocations. Grant funding ends 9/30/2026 for this position.
DUTIES AND RESPONSIBILITIES:
1. Interact daily with staff, and clients with courtesy and professionalism.
2. Answer incoming telephone calls, schedule appointments and forward calls to appropriate staff.
3. Assist with orientation for potential clients.
4. Discuss specific program guidelines and eligibility requirements with potential clients.
5. Conduct initial application, and intake activities with new and existing clients. Ensuring all forms are accurately completed.
6. Maintain all client files following established format in the program database. Ensuring all case notes are recorded in the program database.
7. At counselor’s request arrange for client vocational/psychological evaluation appointment.
8. Ensure strict confidentiality of all client information.
9. At counselor’s request obtain current medical information relating to client’s physical and/or mental condition to aid counselor in determining eligibility.
10. Schedule appointments between client and counselor.
11. Work closely and cooperatively with WI Department of Vocational Rehabilitation and other intern/external referrals, sources and shared client programs or agencies.
12. Manage the purchasing and receiving process for the program, ensuring compliance with the Nation’s policies and procedures.
13. Respond to record request ensuring file sharing methods follow HIPPA and other federal regulations pertaining to client medical and financial records.
14. Attend department presentations or outreach events as requested.
15. Arrange, prepare, and submit travel-related documents, and maintain travel information.
16. Transmit, retrieve, and log and distribute outgoing/incoming fax documents.
17. Maintain inventory of office supplies.
18. Maintain strict departmental security, confidentiality, and quality to meet professional standards of the department.
19. Adhere to all Tribal Personnel Policies and Procedures, Tribal Standard Operating Procedures, and Area and Program Strategic Plans and Policies.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
1. Frequently sit, stand, and walk; reach with hands and arms.
2. Occasionally bend/stoop, squat, reach above shoulder level, crouch, kneel, balance, push/pull, lift and carry up to twenty-five (25) pounds.
3. Work is generally performed in an office setting.
4. Ability to work flexible hours including evenings and/or weekends.
5. A Tuberculosis (TB) Screening and/or 2 step TB Skin Test is required within thirty (30) days of employment.
STANDARD QUALIFICATIONS:
1. Knowledge and experience in community-based service programs.
2. Must be willing and able to work with Native Americans with disabilities.
3. Skill in organizational management. Must be able to plan, organize and schedule priorities efficiently and effectively, meet strict deadlines and successfully cope with challenging situations and conditions.
4. Ability to establish and maintain productive working relationships with staff, consumers, management, or other departments as well as external agencies necessary to effectively carry out job duties.
5. Ability to inform and communicate verbally and in writing in diverse and challenging situations.
6. Oneida Certification on reporting Child Abuse and Neglect is required within ninety (90) days of employment.
7. Must adhere to strict confidentiality in all matters.
8. Must be willing and able to obtain additional education and training.
9. Must pass a pre-employment drug screening. Must adhere to the Nation’s Drug and Alcohol-Free Workplace Policy during the course of employment.
10. Must pass a background security check with the Oneida Nation in order to meet the Employment Eligibility Requirements, Tribal/State Compact and/or Oneida Nation Gaming Ordinance as they pertain to the position. A temporary license or Gaming License issued by the Oneida Gaming Commission is required as a condition of employment and continuing employment within the Oneida Nation’s Gaming Division.

1. Associate degree in Human Services, Administrative Sciences, Business, Social Services, or a related field.
2. One (1) year of experience in conducting application, intake, or assessment interviewing of customers.
3. One (1) year experience in managing consumer records in paper and/or electronic/database format: an equivalent combination of education and experience may be considered.
