    JOB POSTING

    Reporting to the Deputy Title IX Officer in the Office of Equity & Equal Protection (EEP), the Intake & Response Team Coordinator is a key member of EEP's response team. The primary responsibilities of the role, outlined below, are focused on intake and outreach for reports involving sexual violence and sexual harassment (SVSH) , discrimination and harassment based on a protected-class and complaints under the Whistleblower and Whistleblower Protection policies. The Intake & Response Team Coordinator is also responsible for data management of all reporting into EEP, including Clery reporting, and complaint resolutions.

    NOTIFICATIONS

    UC Vaccination Policy: With limited exceptions, COVID-19 vaccinations are required for Covered Individuals under the Policy. Covered Individuals include all employees, students, or trainees who physically access a University facility or program in connection with their employment, appointment, or education/training.

EEP also oversees Americans with Disabilities Act (ADA) compliance and serves as the campus investigative unit supporting UC whistleblower policies and other programs.     JOB SUMMARY

    Reporting to the Deputy Title IX Officer in EEP, the Intake & Response Team Coordinator is a key member of EEP's response team. The primary responsibilities are focused on reviewing and responding appropriately to all incoming reports related to discrimination, whistleblower and sexual violence and sexual harassment (SVSH), consistent with relevant University of California policies (e.g., the UC Policy on Sexual Harassment, the UC Policy on Discrimination and Affirmative Action in the Workplace, and similar nondiscrimination policies for students), as well as related state and federal laws (e.g., Title IX, Title VI, Title VII, and CA FEHA). The Intake & Response Team Coordinator is also responsible for managing Clery reporting, complex electronic case management system data, and generating clear and concise reports to assist management in identifying and responding to patterns and trends.

    APPOINTMENT INFORMATION

    Salary Information: Salary Range: $85,900 - $97,950/annually. Salary commensurate with skills, qualifications and experience.

    JOB DUTIES

    60% - Intake and Outreach
    • Functions as the first point of contact for reports and complaints submitted to EEP;
    • Assesses and triages incoming reports and responds accordingly;
    • Conducts prompt outreach to individuals who allege conduct the falls within EEP's jurisdiction;
    • Seeks to obtain additional information when needed;
    • Provides information about available resources;
    • Facilitates meaningful referrals;
    • Schedules initial assessment meetings when the alleged conduct falls under EEP's jurisdiction;
    • Provides non-judgmental services to complainants of all genders and backgrounds;
    • Maintains and revises outreach and intake communication templates with continual improvement mindset;
    • Acts as a key member of the complaint resolution response team;
    • Provides staff administrative support to Whistleblower complaints;
    • Works with members of the UCSC community to promote the goals of EEP.

    40% - Data Management/Reporting
    • Ensures that all necessary documentation regarding receipt of reports to EEP are accurately captured in the case management systems (iSight and EthicsPoint);
    • Serves as the primary point of contact for case specific data management including gathering disciplinary actions that flow from substantiated concerns related to SVSH and Discrimination/Harassment;
    • Data management: Timely creation, update, and closure of cases in case management systems, including collecting and recording all relevant documentation for Clery reporting and case notes in the electronic case file;
    • Assists with compiling data regarding EEP operations: i.e. report and complaint data, training data, and Clery data;
    • Prepares case management data on a quarterly basis and Clery reporting data on a monthly basis;
    • Reviews and recommends revisions as needed to internal operating procedures for the intake and outreach processes;
    • Creates and monitor case files, ensuring completeness and compliance with internal file retention protocols;
    • Assists the Assistant Vice Chancellor & EEO/AA Director in quality control of case data in the appropriate databases;
    • Ensures that complaint resolution reports are properly grouped and maintained in the appropriate database(s), including real-time case updates;
    • Manage complex electronic case management systems;
    • Generate clear and concise reports reports to assist management in identifying and responding to patterns and trends;
    • Conducts case closure reviews; and
    • Prepares data for the EEP annual report

    REQUIRED QUALIFICATIONS
    • Bachelor's degree in related area and / or equivalent experience and / or training.
    • Experience with highly confidential situations, and ability to exercise discretion and interact effectively, productively and sensitively with students, faculty and external constituencies. Including knowledge of federal regulations such as FERPA.
    • Thorough knowledge of common computer applications including word processing, spreadsheet and presentation software.
    • Experience with database management software, and document sharing systems.
    • Solid analytical and problem-solving skills to analyze and interpret written material and oral communications in order to draw sound conclusions and make appropriate recommendations.
    • Demonstrated strong written and oral communication skills.
    • Ability to use data to generate clear and concise reports to assist management in identifying and responding to patterns and trends.
    • Skill to manage complex electronic case management system in office with heavy caseload and high data volume.
    • Ability to multi-task within demanding time frames and ability to balance and manage shifting priorities.
    • Ability to maintain accurate and detailed records.
    • Ability to work independently.
    • Excellent attention to detail; ability to evaluate data for accuracy and completeness.
    • Demonstrated ability to seek and gather information from a variety of sources.
    • Sound judgment to protect privacy and confidentiality in office dealing with highly-sensitive information
    • Skill to logically comprehend, analyze, and interpret data.
    • Ability to work effectively with populations that are diverse in characteristics such age, education level, race, gender identity and expression, socioeconomic backgrounds.

    PREFERRED QUALIFICATIONS
    • Intermediate knowledge of the ethics and compliance function.
    • Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization.
    • Familiarity with the university's processes, protocols and procedures.
    • Familiarity with policies and procedures related to discrimination, whistleblower and gender based violence and how they are utilized on a university campus.
    • Working knowledge of and experience with data management and communications software, specifically Simplicity and/or iSight.
    • Legal services experience
    • Bilingual in English and Spanish.

    SPECIAL CONDITIONS OF EMPLOYMENT
