Job Description: We are seeking a detail-oriented and compassionate individual to join our team as an Home Repair Intake Coordinator. As an Intake Coordinator, you will be responsible for assisting clients in the intake process and ensuring a smooth transition into our organization. This is a vital role in providing support and guidance to individuals seeking our services. The Home Repair Intake and Admin Coordinator leads outreach and communication with Home Repair clients, connects community members with resources both inside and outside the organization, and performs administrative tasks for the organization.
Duties include:
Home Repair
· Conduct initial client assessments to determine eligibility and program suitability
· Gather necessary documentation and information from clients
· Assist clients in completing intake forms and paperwork
· Schedule appointments and coordinate services for clients
· Maintain accurate and up-to-date client records in our database
· Collaborate with other team members to ensure seamless coordination of services
· Provide information and answer inquiries about our programs and services
· Follow up with clients to ensure their needs are being met and address any concerns
· Manages Home Repair Waitlist
· Supports Home Repair Coordinator and Grant Writer and development specialist in providing data on clients served and repairs performed
· Works with Healthy Opportunities Program (HOP) inspectors to schedule home inspections
· Secure updated certificates of insurance for subcontractors
· Support implementation of new home repair software product
· Manages home repair schedule
Office Administration
· Answers phones – distribute community resource information
· Greets Clients and Office Visitors to guide them to the appropriate program
· Coordinates office cleaning / repairs / maintenance / inspections
· Oversees Vehicle maintenance
· Orders office Supplies
· Assists Grant Writer and Development specialist in preparing for staff meetings, board meetings, events, etc.
· Assists with technology / phone system / cell phones, etc.
· Keeps Master Office Calendar with all deadlines and events
· Picks up Mail and Run Office Errands
All Other Duties as Assigned
Qualifications:
· High school diploma or equivalent required; associate's degree preferred
· Previous experience in a similar role, preferably in a construction or social services setting
· Excellent communication and interpersonal skills
· Strong organizational skills with the ability to multitask effectively
· Proficient computer skills, including experience with database management systems
· Compassionate and empathetic nature, with the ability to connect with individuals from diverse backgrounds
