    Position Purpose

    The Drahmann Academic Advising and Learning Resources Center is a key resource in the University's faculty-based advising and academic support systems. The Center houses responsibility for a number of University-wide programs with a primary focus on undergraduates. The Center focuses on development and support of faculty advising, academic monitoring, tutoring and learning assistance programs, supplemental advising to students in difficulty, outreach to and academic support for special populations such as students of color and first-generation students, and collaboration with New Student Programs and the Residential Learning Communities.

    The Intake Coordinator reports to and supports the work of the Drahmann Center Operations Manager. The Intake Coordinator provides administrative support for the Center's daily operations and major initiatives, especially oversight and quality control of the reception, appointment, and referral services, coordination and support of Center events and publications, and tracking of key data.

    This position is a fully in person office support.

    Essential Roles and Responsibilities

    1.Intake Advising (60%)

    Exercise principal responsibility for delivering high quality intake advising analysis, reception, appointment scheduling, and referrals in the Drahmann Center.

    Assist students in navigating academic and advising tools such as eCampus, Degree Audits, Course Avail, Insight, and department websites.

    Provide in-depth explanation of university policies and procedures.

    Provide clerical support for all facets of the Drahmann Center including: scheduling appointments, answering phone calls, managing student files, assisting with data entry, and other duties as assigned.

    Assume responsibility for the reception area, answer incoming calls, and handle caller inquiries.

    Greet, assist and direct students, faculty, staff, parents, visitors and the general public to the appropriate resources.

    Redirect calls as appropriate and take messages when required.

    Reviewing and assessing key student records in order to provide effective intake advising analysis.

    Assist in the quarterly review of students' academic progress.

    Manage the placement of academic holds on student records.

    2. Front Desk Reception and Management of Student Office Assistants. (20%)

    Determine student staffing requirements to meet the Center's front desk needs and prepare appropriate position descriptions.

    Recruit, hire, and schedule student office assistants.

    Provide training for and ongoing oversight of student office assistants, particularly as it relates to reception, answering telephones, student record maintenance, and scheduling advisement appointments.

    Ensure that student assistants know and adhere to FERPA policies.

    Ensure that Drahmann Center student office assistant policies are consistent with Human Resources student employment policies and procedures.

    Determine pay scales, manage timesheets, and maintain ongoing and comparative records on all student employees.

    Conduct quarterly performance reviews for all front desk assistants.

    3. Advising and Enrollment Sessions (20%)

    Monitor and respond to emails regarding Advising and Enrollment Sessions for incoming students.

    Email students information about their sessions.

    4. Provide program support as needed to Drahmann Center staff. (10%)

    Take messages, respond to questions, and provide other administrative support as needed by all staff of the Center.

    Participate in general staff meetings and represent the Center at other meetings as needed.

    Perform duties of Operations Manager during periods of vacation or other leave.

    5. Other Responsibilities

    Other duties as assigned.

    Responsibilities in the Center will involve some evening and weekend assignments. In particular, the Intake Coordinator must be available during periods of peak activity, including New Student Orientation, course registration, etc.

    GENERAL GUIDELINES:
    Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices.

    Researches and develops resources that create timely and efficient workflow.

    Prepares progress reports; informs supervisor of project status; and deviation from goals.

    Ensures completeness, accuracy and timeliness of all operational functions.

    Prepares and submits reports as requested and required.

    Develops and implements guidelines to support the functions of the unit.

    Work 30 hours a week, available Monday through Friday, 9 a.m. to 4 p.m. (closed for lunch from noon to 1 p.m.)

    Demonstrated ability to respond to a wide variety of duties and demands with poise and grace.

    Computer Technology literacy; competencies in Google Suite, Word, Excel, Power Point, and ability to work with Customer Relationship Management systems for appointment setting required.

    Abilities

    Ability to maintain the confidentiality of sensitive material.

    Ability to work as part of a multi-faceted team of faculty, staff, and students of diverse backgrounds

    Education and/or Experience

    Bachelor's degree or equivalent preferred.

    3 years' experience of administrative support or equivalent experience in an office with significant multitasking.
