POSITION SUMMARY:
The County Auditor’s office performs a number of complex accounting and reporting functions to include monthly reviews and reconciliation of fee office accounts, weekly/bi-weekly review of accounts payable transactions, and bi-weekly review of County payroll. The office maintains the fixed assets system for departmental and financial statement documentation, assists the County Judge with budgeting matters and monitors departmental spending against the established budgets. The office provides assistance to the Treasurer’s office and prepares bank reconciliations as needed. The County Auditor’s office coordinates the insurance of County property- autos, equipment, and buildings. The County Auditor performs purchasing duties at the direction of the County Judge which includes issuance of purchase orders, annual bidding of materials and supplies, Form 1295 reporting, and other requests for purchases as needed by the County. Numerous reports are prepared for an array of grants on a quarterly and/or annual basis to government agencies as required. In additional the County Auditor’s office must prepare numerous support schedules for the Outside Auditor in preparation for the annual audit of the County’s operations.
The Assistant Auditor also assists the County Auditor in carrying out the duties of the office. This position requires more administrative type duties but includes the coordination and preparation of annual bidding requirements for materials and supplies and other items a needed. Orders office supplies, answers phone, files and copies. Inputs journal entries, prepares reports for Commissioner’s Court and assists with review of transactions handled by the office. Communication with elected officials and the general public is required on a daily basis. Utilizes office equipment, computer applications and promotes a team work ethic.
ESSENTIAL JOB FUNCTIONS:
Orders office supplies and assists in organization of the office.
Coordinates, evaluates and maintains annual bidding for county supplies and materials.
Inputs budget amendments into the accounting system at the direction of the County Auditor.
Prepares Receipts and Disbursements Reports for each regular meeting of the Commissioner’sCourt.
Keeps track of all contracts passed at Commissioner’s Court and files and scans the records.
Assists with review of Bi-weekly payroll.
Compiles Monthly Report of Fee Offices for distribution to the Commissioner’s Court monthly.
Prints monthly tax office reports and inputs to worksheets.
Assist with Review of Accounts Payable Records in accordance with purchasing policies and stateand local laws.
Inputs journal entries and maintains records.
Prints all bank statements monthly.
Prepare Total Cash in Bank and review to Collateralized Assets Monthly.
Assists in gathering information and assembling Auditor’s Annual Report due April 30.
Assist with cash audits (Fee Offices).
Be a resource to others in the office.
Assists with Budget Reports and other reports to Commissioner’s Court.
