    POSITION SUMMARY
    Provide students, visitors, faculty and staff with one-stop quality service by sharing accurate information and knowledge in the broad areas of admissions, advising, financial aid, registration, and other processes administered by Student Services, while performing the necessary back-office duties and functions of the Admissions and Records. This position reports to the Registrar

    DUTIES and RESPONSIBILITIES:

    • Create an atmosphere of effective, efficient, friendly and reliable service, providing an easy, accessible, credible resource from which individuals can access information.
    • Serve as first point of contact for new students and community members, by disseminating college information including academic programs, enrollment processes and financial services.
    • Assist students in conducting registration activities such as understanding course offerings, adding, dropping, wait listing, auditing and withdrawing from courses.
    • Provide students with information regarding residency.
    • Assist students with online services.
    • Screen and schedule appointments for advisors, financial aid and/or other division staff.
    • Guide prospective students in determining appropriate entry level, completing admission documents, and meeting college requirements.
    • Refer students and visitors to college personnel, according to established protocol.
    • Assist with the development of policies and procedures, keeping the procedures manual current.
    • Ensure that all activities are conducted within the established guidelines of the Family Educational Rights and Privacy Act (FERPA).
    • Perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards in a safe and efficient manner and with minimal supervision.
    • Assist with campus events (i.e., orientations; open registrations on campus and at satellite sites, college fairs, and commencement) and other special projects, as requested.
    • Perform other duties as assigned.

    ESSENTIAL CROSS TRAINED FUNCTIONS:
    • Work with students, parents and college personnel to explain admissions and registration process and requirements.
    • Provide admissions and records information to students and parents including academic standing, transcript requirements, and residency policies.
    • Provide assistance and information about how to apply for admission, request transcripts, register for courses, and update personal information such as address, phone number, or academic major.
    • Provide forms and assist students in completion of required admissions and records documentation in person, online, or via telephone.

    ESSENTIAL FUNCTIONS:
    • Manage the certification process for veteran students including those benefits provided through Chapters 30, 31, 33, 35, 1606 and 1607 of the GI Bill, and ensures that all documents sent to the Department of Veterans Affairs (DVA) are accurate and properly prepared within the established deadlines.
    • Serves as the campus VA Certifying Official.
    • Track and update veteran enrollment status to ensure records are accurate.
    • Collaborate with Academic Advising to ensure students are enrolled in eligible programs and courses.
    • Manage the certification and enrollment process for international students from application for admission through completion or date of last attendance.
    • Advise international students of required documentation, accept and record documentation, certify international students through the Department of Homeland Security, track international student enrollment to ensure they meet DHS and Department of Education requirements.
    • Contact international students who are not in compliance with requirements and notify appropriate campus departments when necessary to assist with compliance measures.
    • Remain up-to-date and well trained in both Veteran's Administration and Department of Homeland Security/Department of Education requirements for veteran and/or international students.
    • Create training materials and campus handouts and brochures to train staff and departments on proper procedures.
    • Work closely with the Veteran's Resource Center on campus to provide services and training.
    • Occasionally assist other departments in recruiting students in these two areas.

    Requirements

    MINIMUM REQUIREMENTS:

    • Three years related experience and Associate's degree; or a combination of education and experience.

    PREFERRED QUALIFICATIONS:
    • Prior experience working in a post-secondary education institution.
    • Experience working with veterans/military activities and programs.
    • Experience working with International students/processes.
