Position Details:

-Communications: the primary responsibility of this position is the organization and coordination of the paper trail and ensuring that the key team members maintain an open line of communication.

• Entering orders into Quickbooks with fine attention to detail regarding notes and specifications.
• Keeping a file of large multi-phase jobs and helping to develop a system of tracking open items versus shipped items and creating sales orders as each phase is scheduled to ship.
• Coordinating with the purchasing team and the yard tagging team to ensure that each order is accounted for prior to shipment as to what is tagged on the yard and what is on order. Again – attention to detail is required here to avoid duplicate ordering of material.
• Coordinating with shipping and receiving team to maintain awareness of missing items on both incoming and outgoing orders so that those items can either be re-ordered or rescheduled to ship and communicating that to the affected customers.
• Working with the sales team to be aware of any direct ship orders and following up with the respective salesperson(s) to confirm deliveries and making sure that material is billed.
• Immersing yourself in the day to day operations of incoming versus outgoing orders to be a ‘backstop’ for when breakdowns in communication occur between other team members.

-Collections: Conduct Bi-weekly meetings with salespersons to go over the AR report, identify accounts that require action, and determine who is going to be responsible for making those calls. Keeping a record of these meetings so that we can accurately follow up on those actions/results in the next meeting.

-Answering phone calls: Directing those calls to the appropriate person and or taking messages as well as ensuring that information regarding deliveries from vendors is passed along to the right person(s).

-General customer assistance: helping to direct customers and or invoice them when the front counter is overwhelmed

Requirements and Qualifications:

• Excellent communication skills with team members, vendors, and customers
• Detail-oriented within order processing and communication
• Organizational skills for multi-phase jobs
• Team collaboration experience with cross functional teams
• Problem solving skills
• Adaptability
• Computer skills including Quickbooks or other similar software for order entry and tracking
• Customer service skills providing customer assistance and directing inquiries
• Previous experience in a similar role or industry is preferred

Job Type: Full-time

Pay: $18.00 per hour

Expected hours: 40 per week
