WORKS CLOSELY WITH: In this position you will work closely with the Head of Training, Operations Manager, and Head of Arts Engagement. There may be an opportunity to work with the AIC Program Manager.
POSITION SUMMARY:
Dell’Arte is looking for a highly efficient School/Office Coordinator to join our team. In this position, you will provide support to the Head of Training concerning organizing and maintaining records for Dell’Arte students and providing admissions and recruitment support for classes, training programs, and related events. This position will offer administrative office support to the Operations Manager, as time permits.

The School/Office Coordinator is a part-time position. Along with all other staff and board members, this position is responsible for advancing the Purpose, Vision, and Values of Dell’Arte.
Primary Responsibilities:
School Administration
- Work with Head of Training to facilitate smooth and clear lines of communication with guest faculty, teachers, and students
- Manage new student inquiries, enrollment process, registration, program completion, and the communication workflow associated with each of these stages
- Gather all admissions materials to be printed and placed in a new student file updates
- Responsible for managing student experience
- Assist with communications between students and landlords on available student housing
- Work with Operations and Finance with regard to student payments, including in person, over the phone, and other online portals
- Manage any student withdrawal administration
- Ensure that all Adjunct Faculty and guest instructors have relevant academic and logistical information before they arrive, such as
- Student roster thumbnails that include pronouns
- Important group email address
- Instructions for taking attendance
- The faculty handbook
- Up to date COVID19 protocols/policy
- Sex and gender misconduct policy
- Copies of Google Calendar for the weeks they are present
- Communicate with Head of Training and Faculty regarding training programs to provide information to prospective and newly enrolled students
- Manage registration and enrollment in appropriate documents and/or databases
- Route all concerns or complaints to the appropriate staff or faculty who are directly responsible for those areas
- Maintenance of all student records
- Process and send transcripts requested by former students
- Manage ongoing digital archiving of old student records and transcripts
- Provides form letters to alumni or students requesting transfer credits
- Scan and file all liability waivers for classes
- Track and report student demographic data
- Create student and faculty response surveys for each program under the guidance of Head of Training Programs
- Perform weekly checks at the beginning and end of each week to monitor the cleanliness and organization of classroom studios and theater
- Monitor classroom First-Aid kits and restock as necessary
- Administer Safety and Emergency Preparedness Procedures and Programs
- Update and communicate any changes to COVID policy that are made by CDC and/ or Local Health Officer
- Promote and participate in racial equity, inclusion, and diversity learning and training that helps develop administrative leadership practices
- Complete any compliance reports for school support and/or governmental organizations as directed by the Head of Training
Office Administration
- Reception
- Keep regular and consistent in-person office hours as scheduled
- Stay up to date on organizational activities and events to effectively answer and communicate with customers, staff, and students, or when necessary redirect them to the proper channel
- Greet guests and visitors, answer general inquiries, and route all other inquiries to appropriate staff
- Answer the main phone line and take messages /answer questions
- Check and respond to email communications at
- Maintain good quality customer care and service, using appropriate pronouns when addressing trans, non-binary, and gender-diverse students, faculty, and audience base
- Update bulletin boards
- Maintain the front office keeping it decluttered and organized
- Help maintain an office ambiance and environment through appropriate background music and décor
- Set up seasonal décor with regard to multicultural and diverse constituents and clientele
- Maintain inventory for concessions and merchandise and communicate needs to Operations Manager
- Maintain office supplies and communicate reordering needs through expenditure forms
- Collect mail on scheduled days
- File annual consensus report
- Archive files and documents and reset for the current year
Experience & Qualifications
- 3 years of proven office experience
- High School diploma or equivalent
- Outstanding communication skills
- Familiarity with professional office procedures required
- Ability to work collaboratively in a team-oriented environment
- Proficient in Google Suite and other office software
- Excellent organizational skills with the ability to manage multiple priorities and deadlines
- Ability to work collaboratively with a diverse team and build strong relationships with faculty, staff, students, and community partners
- Must be an innovative thinker and a team player
Job Type: Part-time
Pay: $18.00 - $21.00 per hour
