JOB SUMMARY:
This position is responsible for assisting all members of the Commercial Property Management Department (CPM) within Oxford Companies.
JOB DUTIES:
Core duties and responsibilities include the following. Other duties may be assigned.
1. Assemble, update, and maintain electronic and paper tenant/building files. Maintain tenant information in various databases.
2. Manage and maintain tenant and vendor insurance certificates.
3. Obtain lien waivers for work completed over $5k (as directed by Commercial Property Managers).
4. Create, assemble, and distribute vendor contracts.
5. Manage, track, and maintain utility meter readings and coordinate utility billing for tenants.
6. Support new tenants in assuming their utility responsibilities.
7. Liaise between tenants and Oxford for necessary communications and notifications.
8. Support CPM with tenant related questions via telephone and email as directed.
9. Complete property related incident reports as requested.
10. Assist with property specific parking assignments and reporting.
11. Meet vendors onsite for building access as requested.
12. Provide additional support to CPM as requested.
13. Support supervisor with various duties.
14. Update web-based tenant directories for all commercial properties.
15. Monthly janitorial supply orders.
16. Assemble new tenant welcome packets for move-in.
17. Send monthly statements to all commercial tenants. Respond to tenant statement inquiries.
JOB REQUIREMENTS:
1. Previous experience with Yardi Voyager a plus, but not required.
2. Demonstrate strong oral and written communication skills; ability to correspond in a professional, businesslike manner and speak effectively before groups of customers.
3. Ability to read and interpret documents such as tenant rules and regulations, lease paperwork, operating instructions, and procedure manuals; ability to write routine reports and correspondence.
4. Demonstrate ability to apply principles of logical thinking and define problems, collect pertinent data, establish facts, draw valid conclusions, and initiate appropriate course of action.
5. Proven record of providing excellent internal and external customer service.
6. Demonstrate strong organizational skills with ability to prioritize tasks, and track and follow up on multiple concurrent action items
7. Valid driver’s license and automobile insurance coverage; Ability to provide own transportation.
8. Perform all job duties with a positive attitude.
