The Laser Lab for Energetics at the University of Rochester is seeking a Senior level Executive Assistant. If you have excellent communication skills, attention to detail, and experience handling sensitive matters with discretion, we want to hear from you! As our Executive Assistant, you'll be responsible for scheduling appointments, coordinating travel arrangements, managing data and files, and providing guidance to administrative coordinators.

The ideal candidate will have five or more years of relevant work experience in a fast-paced office setting, working closely with executive level or C-suite professionals, experience with making complex travel arrangements, and proficiency in Microsoft products. TYPICAL DUTIES:

• Scheduling appointments, meetings and events involving the LLE Director including interaction with Senior Leaders in Government agencies, industry, academics, and national laboratories.
• Coordinating travel arrangements, including booking flights, hotels and transportation
• Answering phone calls, emails, and other forms of communication on behalf of the Director
• Acting as the initial point of contact for internal and external visitors to the Director’s office suite
• Provide general guidance protocol level coordination to LLE Administrative Coordinators
• Drafting and/or proofing correspondence, memos, emails, presentations and reports to ensure accuracy and readability
• Managing and organizing data, files, and records while maintaining confidentiality and security of sensitive information
• Processing travel and expense reimbursements
• Anticipating and addressing issues before they arise and resolving operational challenges independently
• Building and maintaining positive relationships with internal and external stakeholders representing LLE in a professional manner

QUALIFICATIONS:

• Associates or Bachelors degree in business administration, office management, or related field preferred
• Five or more years of relevant work experience in a multi-disciplinary, fast-paced office setting required
• Strong interpersonal and communication skills, attention to detail, organizational abilities and discretion involving sensitive matters required
• Proficiency in Microsoft products (Word, Excel, PowerPoint, Outlook, etc.) required
• Knowledge of Workday and other University of Rochester software tools and resources preferred
