Position Summary:
The Lead Patient Service Representative is accountable for coordinating general office duties and assisting with day-to-day front office operations. This includes assisting with general patient flow, general office duties, first level customer relations/service, staff scheduling, office supply purchase, front desk inbox and work queues. This position also performs receptionist duties.
Responsibilities:
Staff Scheduling
Maintains schedules of all support staff (excludes providers) by preparing draft schedules under the direction of the Practice Manager ensuring department policies pertaining to overtime and staffing models are adhered to (e.g staff is scheduled to contracted hours) and department protocols for offering shifts are followed:
Submits staff schedule draft recommendations to the practice manager 6 weeks in advance for final review and approval Manages All day-to-day staff schedule changes to any approved and published schedule (e.g. Response to absences, late PTO requests, staffing adjustments due to volume) in accordance with department staffing model, shift standards and protocols for offering shifts. Communicates finalized changes to staff in a timely manner via email or phone.
Refers unusual exceptions to the Practice Manager for input and resolution All schedules recommended for publishing will have PTO addressed before submission to the PM and all required shifts will be filled. Staff will correctly be scheduled at their contracted hours and shift hours correctly designated.
Maintains PTO schedule for all staff and is responsible for securing adequate coverage or by making necessary adjustments to regular staff schedules to ensure shifts are covered.
Front Office Operations
Assists in ensuring Front office workflow is maintained in a flowing effective manner, accurate tracking of patient check in/out times, as well as assisting with overall triage of patient flow to ensure minimal wait times.
Performs front office duties and takes regular shifts.
Available for staff calls, regarding front office procedures and/or questions. Welcomes questions and responds accurately and promptly
Office Duties
Performs general office administrative duties including addressing mail, ensuring the cash drawer is balanced and closed at the end of each day. Oversees staff process for office supply purchases and is accountable for identifying and maintaining a Standard Office Supply list of cost efficient products
Maintain front desk inbox and work queues for all 3 offices
Minimum Qualifications:
High school diploma of GED equivalent
Sound knowledge and experience with front office operations, insurance protocols/in-out of network, co-pay and cash management, clinical policies and regulatory compliance (DPH, CMS)
Basic computer skills including Microsoft office, Google including all Google apps including but not limited to Calendar, Documents, Sheets, Slides
General office skills and experience (copier, fax, email, scanner)
Preferred Qualifications:
3-5 years experience in front office operations for busy medical office practice using electronic health record
