    Position Description

    The Accounts Payable Specialist will support all aspects of accounts payable and be a key team member in the timely and successful monthly financial close process. This position will work closely with vendors, internal department managers and other team members of the organization to ensure the timely processing of invoices, coding accuracy, approval, and weekly payments. The Accounts Payable Specialist reports directly to the Assistant Controller.

    Responsibilities

    • Manage accounts payable, including receiving, obtaining approval, coding, and entering all vendor invoices into ERP system. 
    • Match supplier invoices to purchase orders and receiving documents for accuracy, to voucher production invoices in ERP system. Meet frequently with Purchasing and Production team to review purchase orders and resolve any invoice price or receiving variances. 
    • Facilitate all vendor communication and oversee an Accounts Payable email inbox. 
    • Generate weekly vendor payments and reporting for approval based on invoice due dates.
    • Review expense reports and issue monthly corporate credit card statements. 
    • Maintain accounts payable filing, organization, and reconciling monthly vendor statements. 
    • Facilitate new vendor account setup, including obtaining W-9’s, verifying remittance information, and assisting with creating vendor bank profiles. 
    • Monitor outstanding vendor payments, review daily bank reporting for cleared payments, and supply payment information to the Purchasing team, to ensure timely payments to vendors. 
    • Participate in the monthly close process, including preparing accounts payable accruals. 
    • Coordinate sales tax return payments and assist with annual 1099 tax form issuance and reporting. 
    • Assist with external financial, bank and tax audits. 
    • Foster vendor and business partner relationships with a customer service mindset. 
    • Collaborate with the Accounting team to improve accounting systems, controls, and procedures. 
    • Perform other related duties, including assisting with checking the mail in the office and ad hoc reporting as required.

    Qualifications

    • Associates or Bachelor’s degree in Accounting. 
    • 2 years of accounts payable experience; manufacturing industry experience a plus. 
    • Ability to work independently in a fast-paced environment and meet tight deadlines. 
    • Strong proficiency in Microsoft Office, Excel, Adobe and Outlook. 
    • Experience with Dynamics AX 2012 and Blue Cherry a plus. 
    • Resourceful, detailed-oriented with excellent organizational skills. 
    • Integrity, honesty, and high ethical standards. 
    • Excellent written and verbal communication skills. 
    • A quick learner and problem solver.

    Position is non-exempt (hourly) and schedule is Monday – Thursday, 10-hour shifts. This position is currently remote but based out of our Seattle office (Fremont area). Preference will be given to candidates in the Greater Seattle Area. We are currently only considering applicants who reside in Washington State.
