Position Objective: Provide legal assistant/secretarial services and duties for the Criminal Division.
Duties and Responsibilities:
- Processes a variety of legal documents which are relatively routine or straightforward in content and format.
- Reviews investigative reports, testimonies, interviews, files, and documents for a variety of criminal cases to become familiar with the issues while identifying pertinent material.
- Documents when subpoenas are returned, reviews subpoenaed documents for purposes of determining if the documents returned are sufficient to meet the request of the subpoena.
- Establishes and maintains an effective system of compiling, logging, indexing, as well as organizing this information and its sources.
- Participates and assists in preparation for discovery production and trial by compiling, scanning, downloading electronic data, copying, organizing, and indexing various evidentiary exhibits.
- Prepares and creates CD’s, DVD’s, or whatever media is required for production.
- Marks and identifies trial exhibits and drafts a list of exhibits to be offered at trial.
- May perform a range of tasks including, but not limited to the preparation of narrative summaries, charts, tables, graphs, or other visual aids to be used at trial.
- Copying, mailing, and maintaining pleadings in the case file.
- Performs post-trial document preservation, storage and dissemination to agencies, such as the U.S. Probation Office.
- Prepares the case file for closing after appeal and closes file.
- Works in an office setting to include some walking, standing, bending and carrying of small office items is required
- There may be a need for the candidate to work overtime depending on work and case load.
- Candidate for legal secretary; will serve as a USAO technical expert in docketing.
- Has independent responsibility for developing and maintaining the automated and manual (paper) records for criminal cases, or both from initial referral to final disposition, to include case file closure.
- Regularly inputs new information to the docketing database, and recommends improved office procedures to enhance the efficiency of the docket function.
- Receives and reviews incoming case files as well as mail, analyzing content as needed.
- This work requires specialized knowledge of litigation processes, court proceedings, as well as legal documents, terminology, and procedures.
- may also act as a receptionist, receiving and routing telephone calls on the main office line, and assisting visitors; screening those which can be handled without help.
- Personally takes care of many matters and questions including answering substantive questions not requiring technical knowledge.
- Works and interacts professionally and effectively with all levels of staff; has ability to meet established deadlines and work as a team player in a professional office; and is skilled in meeting and dealing with people in a courteous and tactful manner.
Basic Qualifications:
- Must have 3 years of legal support experience.
Minimum Qualifications:
- Demonstrated ability to review a wide variety of documents, both legal and non-legal documents to include: Motions and briefs, as well as a variety of legal correspondence.
- Have the ability to use MS Excel, MS Outlook, MS Access, MS Word and Adobe Acrobat Professional
- Must have the ability to perform legal research in Lexis/Nexis and /or West Law.
- Communication skills are extremely important.
