Legal Secretary (Litigation)
Smith Haughey Rice and Roegge (Smith Haughey) is looking for a full-time Legal Secretary to join the team in its Grand Rapids, MI office. Smith Haughey was established in 1941 and since has been serving clients in communities across Michigan. Major Duties and Responsibilities
- Overall collection and organization of documents and information for litigation cases at the firm; handling a wide variety of complex and confidential time-sensitive material
- Receiving and screening visitors and telephone calls; responding to inquiries on a variety of matters such as status of pending cases
- Scheduling and arranging meetings
- Maintaining calendars for attorney to keep apprised of court imposed or other deadlines
- Transcribing legal dictation and/or instructions
- Composing routine letters and drafting documents
- Proofreading and correcting prepared materials for grammar, spelling, punctuation, format, and content
- Filing legal documents with proper courts
- Preparing and assembling materials, documents, and exhibits for meetings, court appearances, and hearings
- Opening, logging, and distributing attorney mail appropriately
- Establishing and maintaining files and other information in connection with the work of attorney
- Assisting attorney in the preparation of expense reports and time keeping
- Acting as back-up to other secretaries
- Performing other duties as requested or assigned
Desired Qualifications & Characteristics
- 3 years of experience as a legal secretary
- Litigation experience required; experience with Court of Appeals highly preferred
- Experience with Microsoft Office (Outlook, Word, and Excel) and document management software
- Strong organizational skills, with the ability to manage multiple projects simultaneously and meet deadlines
- Excellent verbal and written communication skills
- Proven ability to anticipate needs and discover new efficiencies
- Nimble-minded with ability to work in a fluid team environment
- Strong work ethic
