Position Summary: Under general supervision of the Museum Director, the Archival Librarian is responsible for the management of the museum’s archival and reference collections and aids patrons in accessing and retrieving those materials for the Royal Gorge Regional Museum and History Center (RGRMHC).

- Maintains and manages the museum’s reference collection of books, documents, and other research materials for visitors and staff to use.
- Responds to research and reference questions, which may include photocopying materials, and completing photograph orders.
- Informs patrons on museum policies including reference collections, copyright, and image use, licensing, etc. as well as how to operate the microfilm reader/printer.
- Catalogs, scans, and processes archival donations and reference materials onto the museum’s database.
- Retrieves research files and archival materials for research patrons.
- Oversees and trains archival and research volunteers and interns.
- Works with the Curator Collections & Exhibits and other museum staff in the research and develop interactive exhibits for the museum.
- Makes recommendations to procedures, policies, and practices as it pertains to the management of the reference and archival collections.
- Provides excellent customer service to external and internal customers including but not limited to effectively listening and communicating, providing accurate information, offering solutions, assisting in resolution, and ensuring timely follow up as needed.
Non-Essential Duties and Responsibilities*: The following duties, although not essential to the position, are important components to the smooth and efficient operation of the Division, Department, and City.
- Works with staff to support public operations of the museum, including opening and closing of the museum, communicating visitation information in person and on the phone, processing bookstore and donation transactions.
- Assists the Curator of Collections in cleaning and environmental monitoring the collection storage areas and galleries.
- May lead, guide, and train staff/student employees, interns, and/or volunteers performing related work; may participate in the recruitment of volunteers, as appropriate to the area of operation.
- Attends or completes training, seminars, and meetings as required.
- Performs related duties as established by law or ordinance or as reasonably directed by the City.

- Knowledge of Museum’s standard best practices and collections management procedures, cleaning, digitizing, and artifact handling.
- Demonstrate advanced critical thinking skills, organizational skills, and strong attention to detail.
- General knowledge of American, Colorado, and/or local History
- Familiarity with resources and references available for effective management of museums archival collections.
- Knowledge of digital media practices, including an understanding of copyright laws, open source, and related issues within the museum field
- Knowledge of computerized museum and/or archives cataloging systems. (Proficient with PastPerfect Museum Software preferred)
- Skilled in standard computer design programs (i.e. Adobe Photoshop) and standard office equipment including personal computers, word processing applications, database applications, printer, microfilm scanner/printer, copier, scanner, telephone, and calculator.
- Familiar with using Genealogy websites and other resources (Ancestry.com, Family Search, etc.).
- Knowledge of principles and processes for providing excellent customer service. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- Ability to build effective relationships with patrons, visitors, donors, and other staff.
- Ability to train and manage volunteers.
- Ability to communicate effectively verbally and in writing.
- Ability to write routine reports and correspondence.
- Ability to speak effectively before groups of visitors or students.
- Ability to solve practical problems and answer a variety of reference related questions.
- Skilled in conducting research and basic recordkeeping practices.
- Knowledge of proper cash handling processes.
Requirements
Minimum Qualification(s):
Experience
- At least one (1) year of experience managing and organizing various records in a library, archives, and/or museum facility.
- At least one (1) year of experience operating a digital scanner and microfilm reader/scanner.
- At least one (1) year customer service experience and working with the public.
- At least one (1) year experience working with volunteers and interns.
Education
- High School Diploma or Equivalent.
Licenses/Certifications
- Must have a valid Colorado Driver’s License, or the ability to obtain one within sixty (60) days of hire, with a driving record acceptable to the City of Canon City.
Any equivalent combination of education, training and experience that provides the listed knowledge, abilities and skills may be substituted.
Preferred Qualification(s):
Experience
- At least three (3) years of experience working in archives or special collections within a library or museum.
- Experience with museum collection databases, such as Past Perfect Museum Software, preferred.
Education
- Associates Degree in Library Science, Museum Studies, History, or other related field.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee will travel within the City of Canon City and Fremont County
- Majority of work time will be indoors with low noise levels.
- Physical demands of job require some lifting; pulling; carrying and pushing of objects –approximately 50 pounds.
- Frequent bending, simple grasping, finger/manual dexterity, standing, walking, twisting upper body, stooping, reaching above the head, and hearing.
- Occasional climbing on stairs, ladders, and step stools.
- Communicates verbally with City staff, outside agencies and the public in one-on-one settings, group settings and over the telephone.
Additional Information
- This position will typically work Monday – Friday but will flex to working weekends and evenings based on seasonal, organizational or event needs.
- This position will be required to attend occasional City Council meetings and/or other meetings and events after normal work hours.
- Travel within the City of Canon City and Fremont County will be required.
- Frequent extension of workday to meet deadlines.
