  • Job Title: Licensing & Commissions Clerk

    I. SCOPE OF JOB - Under direct supervision of Supervisor, Licensing and Commissions, responsible for keeping current demographic and Licensing & Renewal information for approximately 2800 Intermediaries. Coordinates distribution of various mailing to Intermediaries including compensation statement, termination, and collection notices. Verifies banking information in ADP. Updates various systems with demographic information. Utilizes vendor software to record data for Errors and Omissions reporting and tracking. Verifies payment history for outside sources. Provides administrative support Debit Balance Analyst, Payroll Administrator and Contracting staff. Provides excellent customer service to both internal and external customers by answering questions, researching and following up on more complex issues and escalating calls to Supervisors as appropriate.

    II. PREPARATION REQUIRED: High school diploma or GED required; some college is preferred. Basic knowledge of Producer Licensing, Commissions and payroll functions is preferred.

    IV. CONDITIONS OF WORK AND QUANTIFIABLE DATA:

    Physical Environment: Office. PC use approximately 95%.

    Travel: Minimal or none.

    Work Schedule: Standard work schedule 40 hours/week (8:00AM - 4:30PM). Works in excess of standard work week as required by work volume.

    V. JOB QUALIFICATIONS (Knowledge, Skills, Abilities, and Personal Characteristics):

    • Strong PC skills and knowledge sufficient to use Microsoft Office, Excel, Microsoft Access, Online resources
    • Excellent verbal and written communication skills; ability to maintain confidentiality of personnel information.
    • Effective human relations skills to communicate with all levels of Home Office distribution channels, Field office personnel,
    • Ability to utilize various programs and systems (DMS, DSS, Legacy, Visual, FYI) etc.
    • Ability to organize information and work independently with frequent interruptions and while under pressure.
    • Self-motivated and able to work with little supervision.
    • Strong Attention to detail skills
    • Seeks opportunities to master new knowledge to improve business processes and customer service.
    • Problem solving and decision makes skills - identifies/analyzes problems; distinguishes between relevant and irrelevant information to make logical decisions.

    VI. SUMMARY OF DUTIES:

    1/30 UPDATES INTERMEDIARY INFORMATION

    • Responsible for maintaining current information for approximately 2800 Intermediaries and Business Entities
    • Updates or adds information regarding Intermediary name changes, address, and phone numbers
    • Maintains current licensing & renewal information for all Intermediaries
    • Processes agent terminations according to state regulations and distribution of termination letters.
    • Connects or Disconnects producers from third party systems
    • Records continuing education information in third party systems

    STANDARDS: Updates are completed within department time and quality standards


    2/30 COORDINATES AND DISTRIBUTES MAILINGS

    • Distributes compensation statements to appropriate producer electronically.
    • Pairs commission checks with compensation statements and distributes to Intermediaries
    • Performs administrative duties such as assembling mailings and distributing mail and reports
    • Conducts miscellaneous duties as assigned.

    STANDARDS: Documents are mailed and/or distributed within department time and quality standards.


    3/30 PROVIDES ADMINISTRATIVE SUPPORT FOR THE DEPARTMENT

    • Performs various administrative duties
    • Performs dual agent check in multiple systems.
    • Prepares documents for scanning for multiple L&C staff
    • Uploads confidential scanning information directly into Case360
    • Assist in mailing collection notices for Debit Balance Analyst
    • Update Errors and Omissions information in third party systems

    STANDARDS: Dual Agent checks are completed timely. Errors and Omissions information is maintained on a daily basis.


    4/10 COMPLETES INITIAL REVIEW OF CONTRACTING DOCUMENTATION

    • Processes initial producer contracting.
    • Activates initial producer in internal systems
    • Updates system performance date received from division office
    • Verifies banking information is correct in payroll system (ADP)Identifies errors and notifies appropriate staff of corrections needed.
    • Uploads banking data for prenoting process into third party software system.
    • Completes verification of employment documents for requesting state court systems.
    • Updates data in applicable internal and external system(s)

    STANDARDS: Review and entry is done within 24 hours of receipt. Prenotes are completed within the week received.

    Performs other duties as assigned.
