Position Summary
We are seeking a detail-oriented and highly organized Corporate Licensing Specialist to join our Corporate Admin team to support the management of contractor licensing process across multiple municipalities in the United States. As a Licensing Specialist, you will play a critical role in ensuring compliance with licensing requirements and facilitating the smooth operation of our contractor network. This position requires excellent organizational skills, and the ability to work effectively with cross-functional teams.
Duties and Responsibilities
- Contractor License Management: Oversee and manage the entire lifecycle of contractor licenses, including application, renewal, and maintenance processes.
- Compliance Monitoring: Stay up to date with the licensing requirements and regulations and application procedures.
- Communicate relevant information to internal stakeholders, as necessary.
- Documentation and Record Keeping: Maintain accurate and organized records of contractor licenses, including applications, approvals, renewals, and any other relevant documentation.
- Renewal Management: Proactively monitor license expiration dates and coordinate with contractors to ensure timely renewal applications are submitted.
- Communication and Collaboration: Collaborate with contractors, municipalities, and internal stakeholders to address inquiries, resolve issues, and provide guidance on licensing matters.
- Research and Analysis: Conduct research on licensing regulations, industry trends, and best practices to ensure compliance and improve the licensing process.
- Reporting: Generate regular reports on licensing statuses, and any other relevant process metrics
- Process Improvement: Identify areas for improvement in the licensing processes and suggest strategies to streamline operations and enhance efficiency.
OTHER DUTIES
- Bond application management
- Work closely with the accounting team to provide sales tax support, including:
- Assistance with maintaining and updating the master sales tax records.
- Monitoring state and local sales tax rules and regulations.
- State & Local license administration and fee reporting.
- Consulting with internal departments to ensure compliance with applicable laws.
- Entity close-out management
- Sales Tax Exemption certificate capture (Customer Onboarding).

Requirements
- Education: Bachelor's degree in business administration, legal studies, or a related field is preferred.
- Experience: At least 2-3 years of experience in licensing, compliance, or related fields, preferably in a multi-jurisdictional environment.
- Knowledge: Familiarity with contractor licensing requirements and regulations across different municipalities in the United States is highly desirable.
- Attention to Detail: Strong attention to detail and the ability to accurately manage and organize large volumes of licensing-related documentation.
- Communication Skills: Excellent written and verbal communication skills to effectively interact with contractors, municipalities, and internal stakeholders.
- Analytical Skills: Ability to research and analyze licensing regulations, identify compliance issues, and propose solutions.
- Time Management: Strong organizational and time management skills to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
- Computer Proficiency: Proficient in using standard office software and systems for documentation, record keeping, and reporting.
Salary Description
$20-$30 /hour (depending on experience)
