We are seeking a Loan Receptionist to greet our customer at the Downtown Branch loan department and over the phone in a professional and friendly manner. This person needs to be reliable and dependable.
Essential Duties and Responsibilities
- Operates multi line telephone system to answer incoming calls and directs callers to appropriate personnel. Act as 2nd phone receptionist in main lobby at the Downtown office.
- Retrieves messages from voice mail and forwards to appropriate personnel.
- Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Answers questions about organization and provides callers with address, directions, and other information.
- Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Keeps track of Officers’ whereabouts on the floor for customers or bank personnel needs.
- Makes and maintains the coffee galley for the 2nd floor on a daily basis.
- Updates appointment calendars utilizing Outlook.
- Receives, sorts, and routes mail, and maintains and routes publications. Prepares outgoing mail by typing envelopes for regular mail, certified mail, etc.
- Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes.
- Prepares orders, receives, and maintains office supplies.
- Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary.
- Performs other clerical duties as needed, such as filing, photocopying, and collating.
- Proficient in computer literacy, including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint)
- Takes loan payments, pre-paid payments, etc. for loans.
- Orders, receives, and maintains office supplies.
- Creates and prints memos, correspondence, reports, and other documents when necessary. Assists with reports for Loan Officers.
- Prepares file labels for closed loans.
- Organizes loan files to ensure documents are in the same order for every file.
- Prepares the sending of all Christmas cards to loan customers.
- Prepare Federal Express Labels on a daily basis. Contacts Federal Express if there is not a pickup for the next day.
- Acts as backup to the Administrative Assistant.
Adjusts work schedule when the main lobby Receptionist is out of the bank, coordinating with Admin Assistant as needed.
- Other duties as assigned.

Qualifications:
