SUMMARY: The Golf Shop Supervisor (GSS) reports directly to the Golf Course Manager. The GSS is responsible for overseeing and managing the day-to-day operation of the golf shop and respective staff. The GSS will hire and train staff, manage the point-of-sale systems, tee-sheet, schedules, tournaments, leagues, and ensure the golf shop is stocked, clean, orderly and welcoming for all patrons, and also clerical office work. This position will work long shifts and weekends during the primary golf season.

Essential duties and responsibilities may include, but are not limited to, the following:
· Performs / assists with all daily operations, including collection of fees, sales of merchandise, golf cart rentals, driving range operations, rotating stock, simple golf cart maintenance, etc.
· Properly enters/checks-in all customers into the Point of Sale (POS) system.
· Oversees the tee-sheet / POS system including scheduling of events, leagues and outings
· Communicates with Golf Course Manager and Director of any delays or course conditions / maintenance that may affect play
· Informs players of course conditions (cart-path only, frost delays, etc.)
· Must marshal (drive around the course) and make sure all golfers are keeping up with the pace of play and golfers are misusing the golf carts.
· Greets and directs all patrons; asks all players (even Members) to check-in
· Answers and directs incoming calls, takes messages when appropriate
· Creates and maintains a tournament / events calendar for patrons and provides copies to Superintendent
· Corresponds with tournament / event hosts on plans, needs, expected number of players, etc.
· Trains all new staff members
· Trains golf shop and beverage cart staff on proper NM ABC Laws and policies and procedures
· Ensures staff adheres to and completes daily check-lists for opening, closing and during shift
· Conducts monthly inventory of golf shop supplies and recommends orders to the Golf Course Manager
· Oversees the completion of opening and closing procedures for the golf shop, beverage cart, and outside services
· Notifies Golf Course Manager immediately if a customer is unhappy or if there is a problem on the course and assists in resolving
· Sees that any building or system repair, issue, or preventative maintenance is brought to the attention of Golf Course Manager or appropriate department lead so problem can be resolved in a timely manner
· Assists in tournament and event set up and tear-down
· Understands and enforces policies and procedures of the business
· Processes various documents, applications, permits, and paperwork; calculates and collects fees as appropriate.
· Maintains employee timesheets and leave records; documents attendance; prepares and maintains schedule accruals; may assist with payroll processing.
· Prepares purchase orders, requisitions, and invoices; balances accounts; manages accounts receivable and accounts payable.
· Performs general clerical duties; manages fax, mail, and email correspondence; data entry; responds to inquiries; orders supplies and consumables.
· Maintains department personnel records.
· Collects pictures and information for reports.
· Prepares specialized reports and PowerPoint presentations for Public Forums, Committees, Commissions, and/or City Council.
· Coordinates with Public Affairs Department and assists with any and all marketing and communication activities for the department.
· Strives to perform all duties with the highest level of customer service and total satisfaction of all customers
· Supports the relationship between the City of Roswell and the general public by demonstrating courteous and cooperative behavior when interacting with visitors and City staff; maintains confidentiality of work-related issues and City information; performs other duties as required or assigned.
MINIMUM QUALIFICATIONS:
Education, Training and Experience Guidelines:
High school diploma or GED equivalent AND proven customer service and merchandising experience OR an equivalent combination of education, training, and experience. Previous employment in the golf business.
Knowledge of:
· Basic of knowledge of golf course operations.
· Computers (POS) and counting money.
· City and Department policies and procedures.
· Principles and procedures of recordkeeping, reporting, and retention.
· Practices and principles of accounting, bookkeeping, and payroll.
· Basic print design principles and practices.
Skill in:
· Establishing and maintaining effective working relationships with co-workers and the public.
· Effective verbal and written communication.
· Assessing, prioritizing, and completing multiple tasks and demands simultaneously.
LICENSE AND CERTIFICATION REQUIREMENTS:
A New Mexico State Driver’s License is required. Must possess a New Mexico Alcohol Server’s Permit, or obtain permit within 30 days of hire.
PHYSICAL DEMANDS AND WORKING ENVIRONMENT:
Work is performed at or on golf course and in course facilities; requires constant physical efforts; safety precautions must be followed, including use of safety equipment.
PRE-EMPLOYMENT REQUIREMENTS:
· Must be able to pass a rigid background investigation including work history, criminal records, driving records, and other records deemed necessary.
· Must pass a pre-employment drug screen administered by a City-designated facility.
· Must pass a pre-employment physical examination administered by a City-designated facility.
CONDITIONS OF CONTINUED EMPLOYMENT:
Incumbents and candidates must have and maintain a satisfactory driving record and insurability in accordance with the City’s insurance carrier.
