Office Administrative Assistant Mission: to be the face and voice of the company to customers, vendors, and employees, taking on as much administrative work as necessary to give the owner time and space to focus on sales, estimating, project management, helping crews, and making the company grow and be more profitable.

Salary is $19-22 per hour depending on experience.

Expectations:

• Scheduling crucial appointments for the company, such as estimates and in-house crews
• Ensure the financial integrity of the business and help us improve our bottom line through timely invoicing and collections
• Prescreen prospective clients to determine which projects are in our wheelhouse
• Protect the owner’s time through sensible scheduling and gatekeeping
• Light HR duties, including new employee paperwork and payroll reports
• Professionally interact with vendors and customers
• Be resourceful and proactive in dealing with issues that may arise
• Administrative support for the owner with tasks including contract documentation, job packet creation and maintenance, etc.
• Managing and coordinate weekly meeting agendas
• Inventory management
• Periodic social media updates

Skills & Experience:

• Able to represent yourself professionally with your teammates and our customers
• Is decisive. Appreciates the opportunity to make decisions that affect both themselves and others.
• Has a natural curiosity and enjoys digging into and solving problems
• Thinks fast and enjoys being active
• Customer service scheduling/dispatching/logistics
• Microsoft Excel: creating formulas, improving templates, formatting spreadsheets
• 1 to 3 years of administrative support
• Microsoft Office on the desktop a requirement
• Working knowledge of Quickbooks
