Mail Clerk receives, sorts and distributes incoming mail. Collects and processes outgoing mail. Being a Mail Clerk operates postage machine and other mailroom equipment as needed. Job Summary: The Mail Operations Shift Lead functions as a lead point of contact for escalation of production issues which are encountered by operators. They will assist Mail Ops. personnel to determine appropriate action, response, and /or need of escalation.
Responsibilities:
* Perform accurate sign-offs and quality checks at job set-up to ensure that the operators are using the correct material, job and piece counts are correct, that all materials for previous jobs have been cleared from the machines, and that the DRS and quality tracking systems are active and set-up correctly
* Work as a team to assign and recommend staffing (including overtime) to properly handle workload
* Move personnel according to need and delegate work assignments to accommodate processing of daily work to achieve established Service Level Agreement (SLA)
* Ensure shelf ticket locations are provided before sign-offs of any job and work with Insert Team if shelf tickets are missing
* Audit work from operators to ensure 100% compliance on quality and report any concerns
* Perform periodic audits throughout the day of all processing activities to ensure adherence to established quality controls on mail piece tracking (TruCheck) system
* Work with USPS representative on any missing report / data files (Postal-One)
* Verify balancing is performed and achieved for all processed documents before mailing is released to USPS / PSI vendors
* Stage work at employee workstations based on established criteria, including: experience of the operator, configuration and status of the inserting machine, priority and need of the mailing department, and other criteria as defined by management
* Assign work volumes and type of mail based on current staffing levels to meet Postal deadlines
* Make sure that jobs are worked on in order they are staged. Report any incidents of non-compliance to the supervisor.
* Act as a first point of contact for an operator who has a question related to the production work, and/or issues with the machine equipment
* Provide status updates and details on operators and equipment to the Supervisors and management teams, as needed
* Assist Client Services team to determine appropriate action/response and need of a re-run job
* Train and cross train entry-level / senior Operators into different inserting equipment (Pitney Bowes, and B&H machines)
* Work on processing jobs for spoiled postage or other special projects related to unusable mail
* Provide timely input and updates for the CS team on system warnings such as Trucheck errors, double completions, and late work
* Maintain high quality standards on all production and test jobs
* Report low inventory, and truncated or missing data on statements etc.
* Check emails and respond on a timely manner
* Other duties as assigned.
