Mail Clerk receives, sorts and distributes incoming mail. Collects and processes outgoing mail. Being a Mail Clerk operates postage machine and other mailroom equipment as needed. Typically requires a high school diploma or its equivalent. Additionally, Mail Clerk typically reports to a Mailroom Supervisor. The Mail Clerk possesses a moderate understanding of general aspects of the job. Works under the close direction of senior personnel in the functional area. The Clerk performs a variety of secretarial and technical duties for the Bowie County Jail. Employee is responsible for handling telephone communications with the public to answer questions and processing documents and files pertaining to the Bowie County Jail's functions.
Duties of a Clerk include:
(a) Answers the telephone and greets visitors; provides information or refers inquiries to appropriate personnel; routes incoming calls and records messages; responds to emails and faxes, as necessary.
(b) Utilizes computerized date entry equipment and various word processing and file maintenance programs to enter, store, and/or retrieve information. Maintains pertinent files and records; scans and copies documents as necessary; ensures files are complete and accurate.
(c) Processes ingoing and outgoing mail, including preparing photocopies and collating materials; distributes mail to appropriate departments or employee.
(d) Assists and provides information to judges, attorneys, title companies, and the general public regarding inquiries and questions.
(e) Certifies and issues copies of legal documents,
(f) Maintains records and files.
(g) Performs other related duties as required.
