Summary:
The employee in this position should be primarily focused on providing excellent customer service which requires the incumbent to adhere to a daily delivery schedule between the post office, corporate hub location, the two main hospital locations, and a variety of satellite clinic locations. STAT calls are high-priority calls that can preempt the scheduled stops. These STAT calls may be between locations in the network, or they may go out to other hospital systems in town or up to 100 miles away, as required for the client. This position will require delivery of lab specimens, medical records, x-rays, surgical equipment, IT equipment, supplies, documents, sealed pouches of medication, sorting, processing, and/or delivery of mail. Communication between the team members and the clients is critical due to the sensitive nature of some of these items.
This is a full-time position that operates the AM STAT route on Monday through Friday from 6:15 am – 2:45 pm, with a half-hour meal break. The scheduled days remain the same all year long. Since this is a STAT route, it is required to operate on all major holidays.
Responsibilities:
• Operate a marked company cargo minivan, fully utilizing mirrors and blind spot mirrors beginning and ending their shift in Vacaville. This vehicle is a moving billboard, so safe driving and courtesy are essential to protecting the employee, the company, the client, the public, the mission, and the brand
• Pick up window caller and PO BOX mail from the Post Office and deliver to the mailroom hub for sorting each business day
• Monitor the STAT phone for STAT calls while maintaining a log of STAT delivery and pick-up times for STAT calls
• Take instructions from hospital or lab personnel to transport pharmaceuticals, specimens, medical supplies, IT equipment, test results, and other medical documents
• Verify the seal numbers on pharmaceutical courier bags and deliver them sealed to the appropriate medical personnel at the correct destination
• Ensure required tools are in place prior to start of day o Ice chests labeled by temperature
o Correct compliance placard present, such as bio-hazard placards are visible prior to any specimens being transported
o Shoulder bag with ability to separate by temperature to transport from lab to vehicle is available
o Hazardous spill kit available
• Properly clean any spill using protective equipment and hazardous spill kit as needed
• Maintain knowledge base by completing all compliance training as required (Both the hospital system and government compliance is required prior to the transportation of specimens of all medical couriers)
• Use cell phones or tablets to upload time or delivery and shipment information onto the company website or database in real time
• Match all barcodes used on each bag of specimens with the pickup log provided by the lab
• Obtain signature prior to leaving the pickup lab validating all specimens picked up and logging the time and date
• Ensure that all specimens, medicines, or documents are properly secured in the vehicle
• Make sure that specimens are separated by temperature (frozen, refrigerated, ambient) and transported as directed by the lab
• Ensure all specimens must be transported in three containers to reduce the chance of a bio-hazard spill (vial or container, bio-hazard bag with absorbent pad, transportation bag and transportation ice chest)
• Ensure all required documentation is in place and ensure that all deliveries to be made are available
• Follow dedicated route or chart out best route before embarking on a delivery task
• Deliver items in a time-efficient manner to ensure their safety and viability. Time of delivery to be dictated by the lab or route schedule
• Conduct regular inventory, order, load, and unload K sized- Grab & Go Oxygen cylinders onto a specialized cart in the secure oxygen cage and making rounds with the cart through each hospital to exchange empty cylinders for full cylinders, and to returning them to the secure oxygen cage, or it may involve the restocking of a single department on a STAT basis if their supply is running low
• Perform a complete pre-trip vehicle inspection report prior to every shift; reports are submitted to the manager daily
• Record fuel mileage, refuel vehicle with fuel card, save receipts, and ensure appropriate timely maintenance on the vehicle to ward off any delivery problems. Maintain the cleanliness of the vehicle daily
• Monitor and listen to clients to understand their inquiries and requests; provide accurate information about the facilities and services; provide prompt assistance; work closely with customers to meet their needs
• Consult with the manager as exceptions occur to prevent escalation and to ensure that the client’s needs are satisfied
• Maintain a clean driving record and report any infractions to OMG Management immediately
• Adhere to disaster recovery plan for continued business operations
• Adhere to HIPAA regulations in accordance with Federal Law
• Adhere to Standard Operating Procedures for site
• Perform miscellaneous duties as assigned by the Manager
Additional Information:
• In network STAT calls can usually be accomplished in about an hour or less
• Out of network STAT calls may take a few hours and may travel up to 100 miles to either San Francisco or Sacramento and any medical facility in between, as needed
Qualifications:
• Knowledge of legal and safe alternative routes to circumvent heavy traffic delays either by experience or by utilizing GPS or traffic apps are helpful to ensure timely deliveries.
• Previous professional driving experience preferred
• Must have a valid driver’s license with a clean driving record. No DUI, at fault accidents, recent speeding tickets, reckless driving, exhibition of speed, or non-hands-free cell-phone use tickets
• High School Diploma or equivalent required
• Previous management experience preferred Positive attitude/Strong work ethic required
• Ability to learn skills quickly and thoroughly
• Ability to multi-task with attention to detail
• Ability to function with a high level of patience, tact, and diplomacy in handling any complaints/situations
