Mailroom tech job description

• Collect and prepare outgoing mail from designated mail points before its collection by designated mail service provider. i.e. USPS, UPS, FedEx, etc. 
• Ensure outgoing mail is placed in the agreed locations in time for collection.
• Operate franking machines and X-ray scanning machines. 
• Scan all (including for substance and/or objects), sort and subject to other scrutiny in accordance with the Client's procedures all incoming mail, where appropriate equipment has been made available by the Client.
• Ensure mailing and postal stocks and supplies are maintained to adequate levels in supply closets.
• Collect, prepare, and administrate all courier requirements.
• Provide sorting and delivery of all incoming and internal mail, goods, notices, and leaflets to the correct location. 
• Carry out deliveries to designated mail points. This may also include individual desk drops as and when requested by the client.
• The mail room itself will be managed and maintained in a professional manner.
• Ensure that all external mail is collected in sufficient time to be ready for collection or reach the mail service provider or equivalent sorting office for onward delivery the same day.
• Mailroom staff must have professional experience of the mail delivery service. 
• Mailroom tech shall take reasonable care for items of mail in their possession.
• Mailroom tech shall handle suspect packages in accordance with security guidelines in place at all times (confirmation of mail handling procedures).
• Mailroom tech shall record incoming items of priority mail (special delivery, recorded and personal mail items) and shall pass these items to recipients in a safe and expeditious manner.
• Mailroom tech shall assist the Client's personnel with late deliveries and special requests.
• Mailroom tech shall be responsible for the operation and maintenance of appropriate mailroom equipment including but not limited to mail scanning equipment (X-ray machine), where the Client does not retain such an obligation.  
• Mailroom tech shall be responsible for the application of correct postage to all outgoing mail in addition to the operation, charging and safe storage of the franking machine.
• Mailroom tech will follow the processes and procedures outlined in the Client's Standard Operating Procedure.
