Overview
We’re currently seeking a reliable and trustworthy professional to join our team as a Mailroom Coordinator. Someone who is patient, detail-oriented and an independent multitasker, with prior experience working in a fast-paced office setting is who we are looking for. He or she will bring resourcefulness, organization, and stellar communication skills to the desk. Any experience working with a postage meter and scale and creating shipping labels in FedEx/UPS ship manager, is preferred but not required.
Duties and Responsibilities
1. Receive front office deliveries; sort and distribute incoming mail.
2. Collect payment from employees for personal mail.
3. Manage postage meter to ensure adequate funds are always available.
4. Receive, log, and notify employees of inbound FedEx and UPS shipments.
5. Prepare and manage outbound FedEx and UPS shipments for office personnel.
6. Maintain adequate inventory of shippers (cardboard boxes) for outbound shipments; reorder and restock as needed.
7. Maintain adequate inventory of supplies for FedEx and UPS printer.
8. Notify inventory control of customer returns.
9. Assist in the scanning of bill of ladings for outbound customer shipments.
10. Manage ‘Invoices to Mail’ email inbox; print and mail invoices.
11. Serve as a backup to the Front Desk Coordinator; cover front door access during lunch and break times.
12. Welcome visitors in a warm and friendly manner.
13. Maintain building security by ensuring visitor protocol is followed.
14. Perform additional duties as requested.
Minimum Job Requirements
• High school diploma or GED
• 2-3 years of relevant experience in an office environment
• Proficient in Microsoft Office; specifically, Outlook and Excel
• Comfortable multi-tasking and prioritizing tasks without guidance
• Punctual with a strong attendance history
• Excellent interpersonal skills
• Ability to lift 50lb
• Ability to contribute positively as part of a team, helping with various tasks as required.
