Perform duties to sort, prepare and distribute incoming and outgoing mail, working within the limits of prescribed routines.
Essential Duties & Responsibilities
- Sort and prepare morning mail for delivery. Ensure that courier packages are available for pick up, or delivered to carrier pick up station to meet the organization's priorities.
- Handle incoming correspondence and work order pick-up.
- Update calendar date on postage machine and ensure proper functioning of mailroom equipment and machinery for daily use.
- Receive, sort and distribute mail delivered by outside courier services. Prepare and apply postage to outgoing mail as required.
- Conduct inter-office and inter-departmental mail pick-up and distribution daily, as needed.
- Receive, log, record signatures and maintain all internal records for mail and package deliveries by FedEx, UPS, DHL, Postal Courier, Internal Courier, Front Desk and outside delivery services.
- Deliver mail and packages to corporate destination.
- Run a daily print order on all violation letters and file all print jobs in appropriate folder.
- Mail inter-office envelopes to properties, as needed.
- Deliver paper supplies and other office supplies as needed.

- Conduct business at all times with the highest standards of personal, professional and ethical conduct.
- Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
- May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
- Ensure all safety precautions are followed while performing the work.
- Follow all policies and Standard Operating Procedures as instructed by Management.
- Perform any range of special projects, tasks and other related duties as assigned.

No supervisory responsibilities.
Education & Experience
Must have a High School Diploma or its equivalent. Previous administrative experience preferred.
Knowledge, Skills & Proficiencies
- Ability to utilize office and mailroom equipment.
- Strong customer service skills
- Strong verbal and written communication skills.
- Detail oriented and strong organizational and multi-tasking skills.
- Must have basic proficiency in Windows and Microsoft Office, including but not limited to Word, Excel and Outlook. Proficiency researching the Internet.
- Ability to work in a team environment as well as independently and be self-driven
Tools & Equipment Used
Computer and peripherals, standard and customized software applications and tools, and usual office and mailroom equipment and machinery.
Physical Requirements/Working Environment
This position works under usual office conditions. The employee is required to work at a personal computer and must be able to stand, sit and walk, and lift up to 50 lbs. The incumbent must be able to work extended and flexible hours and weekends as needed.
