    DEPARTMENT OVERVIEW

    Colleges, Housing and Educational Services (CHES) is a multi-funded organization of the Division of Student Affairs and Success at UC Santa Cruz. CHES provides leadership in the areas of college student life and residential services, housing services, facilities, capital planning, business and financial analysis, dining services, conference services, and early education services. Through these units, educational and developmental programs and services are offered to all members of the campus community including students, faculty, staff, children and external constituents.

    The Facilities unit of CHES provides comprehensive facilities support to over 9,500 student residents in ten colleges and six associated residential communities, as well as seven Dining facilities. The department maintains 191 buildings of 2 million square feet. Facilities employs 45 represented, non-represented career staff, and over 100 student staff positions, and manages an annual budget of approximately $9 million.

    The mission of Facilities is to plan for, develop, and maintain a comfortable and safe physical environment for our residents and cost effectively maintain the assets of the campus in a manner that meets the highest standards of the housing and facilities management profession in coordination with other campus facilities units.

    JOB SUMMARY

    Under the general supervision of the Facilities Asset Coordinator (FAC), the Senior Building Maintenance Supervisor (SBMS) is responsible for the routine maintenance of facilities and the supervision of assigned front-line maintenance team. Each area (zone) includes residential units (college and non-college residences) and other associated CHES housing, dining and administrative facilities. The Senior Building Maintenance Supervisor works closely with the Facilities Asset Coordinator to ensure the overall condition of the zone. The primary focus of the SBMS is ensuring that the day-to-day work orders for repairs and maintenance are completed efficiently and up to CHES standards. The SBMS is responsible for developing the infrastructure required to deliver maintenance and repair service including the hiring and development of staff, operation of zone maintenance shops and stores, and monitoring workloads and assignments through the Facilities computerized maintenance management system.

    JOB DUTIES

    55% - Maintenance / Staff Supervision

    • Provides day-to-day supervision and direction to a team of career staff of Senior Building Maintenance Workers, provides training and direction for student maintenance assistants and may also supervise limited Building Maintenance Workers over the summer during resident turnover. The SBMS provides personnel development opportunities and monitors and evaluates staff performance.
    • Schedules the zone maintenance team and assigns resources to specific work orders. Manages and prioritizes both preventive and corrective maintenance needs. Utilizes a computerized maintenance management system to support assignment of tasks. Ensures that all work is completed to CHES Facilities' standards, is properly logged, and that follow-up requests are addressed. Allocates staff across the zone to balance resources with specific needs.
    • Evaluates training needs of maintenance team. In conjunction with the Facilities Safety/Training/Resource Conservation Coordinator and campus or outside resources, provides training for maintenance team to enhance job-specific skills, safety and other professional development needs.
    • Ensures that workers are adequately prepared to perform their functions, working safely, and following campus policies. Provides direct supervision or assistance as needed.
    • Performs routine repairs and maintenance within campus delegations of authority. This work includes electrical, plumbing, painting, carpentry, heating and ventilation, locks and hardware, furniture, appliance, sheetrock, cable television system, and smoke detector repair. This position may be called in for emergency repairs nights and weekends and provides authorization to Campus Dispatch for response by Physical Plant skilled crafts workers or contractors.
    • Plans, directs, supervises, coordinates the work activities and evaluates workflow of the call center representatives, or the daily operational building maintenance workers and activities at a facility or groups of facilities.
    • Maintains performance metrics and standards to ensure excellent service is extended to building and grounds services. Ensures other routine or emergency maintenance issues and service calls are handled promptly and according to established processes.

    15% - Facilities Maintenance

    • Works closely with the Facilities Asset Coordinator (FAC) to coordinate activities related to day-to-day preventive and repair maintenance and for longer-term refurbishment, renovation and major maintenance.
      Supports development of the multi-year maintenance plan. With the Facilities Asset Coordinator, ensures adequate coordination with customers and other CHES and campus entities.
    • Ensures that emergency repairs are handled appropriately. Assists in coordinating activities or other maintenance staff; Physical Planning, Development and Operations; Student Housing, and Contractors.
    • Establishes regular security inspections and coordinates with firefighting and civil law-enforcement agencies and also provides or coordinates routine inspection of facilities and equipment.
    • Monitors performance of staff members according to established monitoring standards.
    • Sets work schedules and project priorities; selects, trains and supervises staff.
    • Applies Integrated Pest Management techniques, including exclusion and, if approved, indoor/outdoor pesticide application, to control landscape and outdoor pests and to prevent pest intrusion into buildings. Serves as Integrated Pest Management (IPM) backup to other Facilities supervisors who manage grounds keeping crews.


    15% - Coordination and Planning

    • Works with the Facilities Asset Coordinator and the Major Maintenance Coordinator to facilitate work that is planned by Physical Plant or Physical Planning and Construction and performed by Physical Plant or contractors. Coordinates with the FAC to ensure work is performed in accordance with needs of facilities users.
    • Maintains facility-wide preventative maintenance program and also administers emergency preparedness for department or unit.


    15% - Purchasing, Inventory & Shop Management

    • Oversees the zone's shops and stores facilities to maintain a safe and productive operating environment. Ensures that adequate consumable repair and maintenance supplies are available. Makes tool, equipment, and supply purchases using campus online purchasing system and purchasing card. Ensures that tools are available and are properly maintained
      Supports unit recycling and energy management programs.
    • May coordinate the activities of security, emergency firefighting equipment, radar, closed-circuit TV and communications systems.
      Drives a campus owned vehicles and/or a personal vehicle to perform various tasks within the assigned zone, between zones and/or other locations as needed.
    • Recognizes operational and facilities related processes and recommends improvements.

    REQUIRED QUALIFICATIONS

    • Demonstrated experience to safely perform routine electrical, plumbing, painting, carpentry, heating and ventilation, lock and door hardware, furniture, appliance, and sheet rock repairs.
    • Demonstrated troubleshooting experience in one or more craft areas; (carpentry, plumbing, electrical, and heating/ventilation).\
    • Demonstrated knowledge of building systems (building envelope, structural, plumbing, electrical, and heating/ventilation) necessary to coordinate routine repair and maintenance projects and to evaluate the work of contractors, vendors, and campus skilled crafts technicians.
    • Leadership skills sufficient to develop a cohesive, motivated and effective facilities team. The ability to effectively supervise staff, including planning and assigning work, setting expectations, monitoring performance, developing the capacity to perform, and evaluating performance.
    • Excellent interpersonal skills necessary to maintain good working relationships with diverse groups of people. Ability to resolve issues related to students, staff and faculty, and exercise diplomacy in stressful situations.
    • Demonstrated customer service skills necessary to ensure efficient, responsive delivery of high-quality services to student and staff customers.
    • Demonstrated ability to perform basic mathematical calculations necessary for maintenance tasks and record keeping.
    • Demonstrated ability to read, comprehend and communicate University correspondence, training materials, policies and procedures.
    • Strong time management and organizational skills with the ability to work on multiple projects under the pressure of competing deadlines. Must be able to appropriately prioritize and effectively communicate progress on assigned projects.
    • Experience and proficiency in the use of computer spreadsheets, databases, and word processing application software, with the ability to learn and use campus on-line financial, purchasing, maintenance work order, email and calendaring systems.
    • Knowledge in researching and purchasing maintenance and construction materials and services.
    • Political acumen and discretion necessary to work effectively with various entities and individuals in a complex organizational environment.

    PREFERRED QUALIFICATIONS

    • Facilities experience in a university, college, or relevant residential environment.

    SPECIAL CONDITIONS OF EMPLOYMENT

    • Selected candidate will be required to pass a pre-employment criminal history background check.
    • Must possess and maintain a valid license to drive in the State of California and be able to participate in the Department of Motor Vehicles (DMV)
