    Detailed Job Description
    The Director Gift and Data Processing is expected to provide a level of expertise in the Advance application and is required to maintain the highest level of accuracy. They are considered an in-house expert related to data values and the interpretation of data on donors/companies and their gift and pledge histories. They are also considered to be an in-house expert of CASE and IRS rules and guidelines and best practices.

    As part of their duties, the Director guides and oversees the data entry of all gifts and manually processed biographical data to the university on a daily basis. They ensure all gifts are recorded and receipted following RIT, CASE and IRS rules and guidelines and best practices. They lead process improvement initiatives relating to gift and biographical data on behalf of the division. They also audit giving related reports and forms for the university to ensure accuracy and consistency. Manages the Gift Processing Specialist and Data Processing Specialist. Reports to the Sr. Director of Finance & Administration.
    • Responsible for directing and coordinating the maintenance of gift and biographic records involving the receipting, processing and documentation of private gifts and grants RIT. Oversee data quality and manage customer service related to charitable contributions. Direct the receiving, accurate and timely deposit, processing, and receipting for all gifts to RIT. Manage, measure, plan, and advise on the reporting of University Advancement gift activity.
    • Acts as the division's quality assurance representative regarding giving-related forms, giving programs, and reports to ensure the highest degree of accuracy is attained when processing gifts. Forms generated for our donors both online and in paper format need to be reviewed regularly to ensure priorities align with university objectives.
    • With an understanding of accounting principles, CASE and IRS guidelines, and Advancement policies, work with the Senior Director of Finance & Administration to design and implement Advancement-wide guidelines and standards for gift and data maintenance of constituent data.
    • Communicate directly with donors, financial advisors/representatives, and university staff regarding gift transactions and the delivery of assets to the university. Authorize transfer of funds across university accounts. Serve as resource for university advancement and financial officers regarding gift counting and reporting policies and procedures and data administration. Conduct staff development and training sessions as needed, including preparing and presenting information on policies and processes.
    • Manages the division's pledge aging and reminder process. Reviews data for gift, donor, and financial accuracy. Reports aging activity to Finance.
    • Manages the matching gift program for the university. Verifies and reconciles all matching gift claims to the university. Regularly communicates with donor's regarding the status of their matching gift claims.
    • Actively reports metrics and statistics relating to gift entry, receipting, indexing, and modifications to ensure the Gift Office is a leader of best practices within our industry.
    • Manages the Gift Processing Specialist and Data Processing Specialist.

    Required Minimum Qualifications
    • Minimum bachelors degree in accounting or finance required, masters degree preferred, and 5 years of experience in Advancement Services, an operational financial environment or a bank operation, OR proven related combination of education and experience required.
    • Proficient in Microsoft Suite; including Outlook, Word and Excel.
    • Ability to work as an integral member of a team.
    • Strong communication, organizational, problem-solving and analytical skills.
    • Strong degree of ethics due to working in a highly confidential environment.
    • Must be able to exercise initiative, independent good judgment when faced with unclear or questionable data and be able to extrapolate intent from non-standard submissions.
    • Must be able to successfully manage multiple priorities and projects within tight department metrics and deadlines, as well as ability to manage conflicting priorities and projects.
    • Lean Six Sigma or Project Management certificate is a plus.
    • Experience with donor management software is a plus.
