Administrative Assistant

  • Join the dynamic team at TrueSense Marketing.  We are currently seeking a passionate individual to join us as an Administrative Assistant in our Warrendale Office. This position offers an excellent opportunity for growth and learning within our organization.
     

    Responsibilities and Duties:
    • Lead mass internal employee communications by reviewing and preparing correspondence to various distribution lists.
    • Develop internal communication branding designs to increase response and recognizability.
    • Ensure employee documentation is up to date, including company policies and organizational charts.
    • Serve as a point of contact for vendors.
    • Work closely with the marketing manager to prepare and ship conference materials.
    • Organize and co-host quarterly all-hands meetings alongside the VP.
    • Manage catering and support for internal and client meetings.
    • Support documentation and management of work instructions and process flow maps.
    • Support MRO purchasing, creation of purchase orders, and management of invoice discrepancies.
    • Manage key office facility needs such as admin supplies, cleaning crew, building maintenance requests, and guest badges and guest entry.
    • Support marketing needs such as business cards, branded clothing, marketing materials coordination for conferences and sales meetings, and new hire gift coordination.
    • Manage the admin bonus budget – track expenditures and monitor against the annual budget.

    Qualifications and Skills:
    • Marketing or Business Degree preferred.
    • Entry level to 5 years of experience.
    • Good written and verbal communication skills.
    • Technologically proficient.
