Provide administrative, technology, planning and project management assistance to the Education team to support events and education programs.
Essential Job Functions:
Event Technology Support (40%)
- Set up and distribute conference surveys to attendees, generate reports with the data. FMI currently uses SurveyMonkey.
- Set up, maintain, and monitor web-based event management tools, including calls for proposals, speaker database, exhibit management, mobile apps and provide support to users. FMI currently uses the Cadmium suite of products for this purpose.
- Serve as project manager for the development of all mobile conference apps.
- Monitor and update education calendar and conference web pages. FMI currently uses Sitefinity.
- Provide customer service (answering queries and troubleshooting log-in issues) for virtual event platforms.
Education Content Development Support (20%)
- Schedule speaker content discussions, rehearsals, and recordings.
- Assist with ensuring speaker presentation slides are received, reviewed, and formatted correctly.
- Support the production of education materials such as videos, webinars, livestreams, handbooks, and slides, etc., including creating, formatting, and editing master slide decks, printing handouts and documents, recording speaker presentations, editing presentation recordings, and uploading materials into virtual event platforms.
Webinar Support (15%)
- Assist with organizing and managing webinars, including pre-webinar set-up; managing participant registration; sending meeting invitations, instructions, and follow-up emails and training materials; coordinating speaker run-throughs and audio tests as well as day of and post-webinar support.
- Other duties may include preparing and loading slides, creating lobby slides, standardizing templates, presenting slides using Zoom, Teams or other tools and placing final slides into FMI’s LMS system.
- Provide customer service support to webinar speakers and participants to include responding to customer email or phone inquiries and questions during a live event.
- Serve as back up facilitator for live webinars.
- Troubleshoot participant technical issues during webinars.
Learning Management System (LMS) Support (15%)
- Edit and update courses, upload files, adjust settings and run reports in the Elevate LMS.
- Provide customer service for courses including answering frequently asked questions.
- Conduct quality assurance on LMS products including reviewing new courses to ensure files and videos are working correctly, copy editing e-learning course text for typos, grammar and other errors.
General Administrative Support (10%)
- Perform general administrative tasks and office duties such as scheduling meetings, taking meeting notes, handling copying, coordinating UPS and FedEx shipment coordination and answering phones/emails to support the vice president, director, and managers of the Education department.
- Serve as the primary education department point of contact for all customer service and vendor queries.
- Support the team with internal and external meetings including ordering breakfast and lunch orders, making dinner reservations, setting up conference rooms for meetings, working with the IT department to ensure audiovisual equipment is functioning properly, creating document packets, greeting guests and taking notes.
- Create reports using Matrix Maxx (FMI’s association management database), Survey
- Monkey, Elevate LMS, Cadmium, Excel and other association management tools.
- Maintain department electronic files using Microsoft SharePoint and One Drive.
Other Job Functions:
- Provide additional administrative support to education department staff as needed or assigned.
- Assist other division staff as needed.
Physical Requirements:
- The person in this role must be able to use standard business equipment (e.g., computer, telephone, and copier).
- Ability to travel to meetings and conferences to perform on-site administrative duties and coordination of activities.
- The person in this position will be eligible to work a hybrid work schedule Monday through Thursday requiring a minimum of two days in the office per week during that four-day period and every Friday will be a remote workday.
Education, Skills and Experience:
- Minimum of one to two years of prior professional work experience in a similar role required.
- A college degree in education or other relevant field; course work, training or other experiences in education or training is also a plus.
- Computer and internet expertise with an excellent working knowledge of Microsoft Office products, including Word, Excel and PowerPoint, and familiarity with Survey Monkey
- Experience with web-based event management tools including speaker management and proposal databases and mobile apps. Experience with Cadmium software and HTML is preferred.
- Ability to think outside the box to find solutions to problems.
- Ability to understand and use database software.
- Previous experience working with a Learning Management System is a plus.
- Familiarity with online platforms such as: Microsoft Teams, Zoom, etc.
- Stellar telephone and interpersonal communication skills.
- Strong writing, editing and proofreading skills.
- Customer service and team orientation.
- Must be proactive and self-directed with excellent time and project management skills with an ability to organize, prioritize and accomplish multiple tasks with strict attention to detail and with minimal supervision.
- The ability to work independently in a virtual environment is required.
