Materials Management Supervisor supervises daily operations and planning to optimize the flow of raw materials, supplies, and equipment from initial procurement to the final disposition and fulfill material requirements for volume, cost, and scheduling business operations. Uses material requirement plans to ensure the required flow of materials is maintained. Being a Materials Management Supervisor coordinates procurement, warehouse, and distribution operations and staffing to enable workflows crucial to the flow of materials. Troubleshoots and resolves operational roadblocks. Additionally, Materials Management Supervisor may require a bachelor's degree in area of specialty. Typically reports to a manager or head of a unit/department. The Materials Management Supervisor supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be a Materials Management Supervisor typically requires 3-5 years experience in the related area as an individual contributor. Materials Management Service Rep

    Performs a variety of duties associated with inventory management, receipt, stocking and distribution of supplies, mail and equipment used by the Hospital.  This position must also comply with all Hospital, departmental, safety, fire, JCAHO, DPH guidelines that apply to the Materials Management area.

     

    RESPONSIBILITIES:

    ·         Responsible tear-down of pallets on Medline delivery days.

    ·         Responsible for removing and stacking pallets on loading dock.

    ·         Utilizes initiative to respond to customer needs across clinical and non-clinical areas.

    ·         Responsible to monitor & respond to messages left on stockroom phone.

    ·         Responsible for put away of supplies in correct bin locations, replenishment and removal of packaging material.

    ·         Responsible for daily Par of assigned locations.

    ·         Tracking and monitoring inventory stock-outs.

    ·         Maintains a rapport with clinical staff in assigned area.

    ·         Responsible for timely delivery of products / packages to assigned clinical locations.

    ·         Accountable for following FIFO inventory methodology.

    ·         Interface with key buyer: backorders, substitutes and inventory information on critical products

    ·         Responsible for insuring bin labels are legible, accurate and match bin contents.

    ·         Monitors the expiration dates of sterile commodities following JCAHO guidelines, by rotating stock and visually checking expiration dates, to ensure usage or return to inventory prior to expiring.

    ·         Perform month and year end inventory audits/cycle counts of assigned areas.

    ·         Performs monthly Stockroom inventory reconciliation to insure dollars and SKU accuracy.

    ·         Participates in monthly meeting with Supply Chain Director for review of inventory adjustments.

    ·         Responsible for end of shift housekeeping of assigned stockroom location

    ·         Shared responsibilities for sorting and distribution of mail as scheduled.

    • Keeping all storage areas neat, clean, and organized.
    • Functions in a collaborative manner with other team members to ensure quality customer service.
    • Builds familiarity with each supply item including nomenclature, unit of measure, product family and be able to communicate effectively with clinical staff.
    • Alerts Materials Manager of usage trends, shortages, picking errors and damaged items.
    • Accurately picking products to ensure miss picks do not happen.
    • Monitoring environment for compliance with regulatory agencies, including JCAHO.
    • Responsible for maintaining a neat, orderly work environment in each of the clinical assigned areas serviced, including rotation of stock, validation of expiration dates, disposable of any refuse, adherence to storage requirements, and neatening of existing stock. Keeping areas free of fire and safety hazards.
    • Dispenses and delivers products requested by verbal, written and telephone requisitions.
    • Resolves emergencies related to acquiring and distributing supplies as needed.
    • Performs routine cleaning and maintenance of all supply storage locations to include all supply bins and shelving to ensure appropriate product labels are properly placed and reflect current product/manufacturer information.
    • Responsible for following Hospital, JCAHO and DPH guidelines and procedures.
    • Continuous, close monitoring of inventory to ensure that product is on hand.
      • Monitoring supply and demand, awareness of unit utilizations, staying in tune with manufacturer shortages to pro-actively plan and order.
    • Performs related duties as assigned.

     

    REQUIREMENTS:

    • Long periods of continues movement, standing, walking, pushing, pulling and lifting weight in excess of 75 pounds.
    • Ability to communicate clearly and effectively both written and verbally.
    • Basic mathematical skills, problem solving skills with the ability to calculate mathematical values.
    • Comprehension of basic inventory and distribution concepts and methodologies.
    • Have basic computer skills and ability to access internet and other programs applicable to Waterbury Hospital procedures.
    • Must be able to work independently with little supervisor and exercise superior attention to detail.
    • Performs safe operation of pallet jacks and other material handling equipment as required to move or open materials.
    • Serve as liaison between the Materials Management to handle exception requests that impact inventory and customer experience.
    • Communicates with Materials Manager regarding any inventory issues or problems
    • High School Diploma or GED.
    • Maintains inventory accuracy by identifying and reporting stock variances to Materials Manager.
    • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
    • Ability to follow written process instructions and achieve desired outcomes with minimal supervision.
    • Ability to effectively maintain professionalism when dealing with employees, customers, vendors, management and co-workers.
    • Limits use of department telephone, cell phones, and ear buds to established break times.
    • Completes daily tasks within established time-lines as determined by Director Supply Chain.
