Materials Management Supervisor supervises daily operations and planning to optimize the flow of raw materials, supplies, and equipment from initial procurement to the final disposition and fulfill material requirements for volume, cost, and scheduling business operations. Uses material requirement plans to ensure the required flow of materials is maintained. Being a Materials Management Supervisor coordinates procurement, warehouse, and distribution operations and staffing to enable workflows crucial to the flow of materials. Troubleshoots and resolves operational roadblocks. Additionally, Materials Management Supervisor may require a bachelor's degree in area of specialty. Typically reports to a manager or head of a unit/department. The Materials Management Supervisor supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be a Materials Management Supervisor typically requires 3-5 years experience in the related area as an individual contributor.     Job Summary

    The purpose of this position is to provide focused leadership materials and supply management chain.

    Essential Functions

    • Promotes collegial interdisciplinary team relationships to support delivery of services, and supply cost efficiency.
    • Develops maintains and supports capital and operational budgets for assigned areas. Manages expenses to achieve annual financial goals.
    • Prepares business plans as required.
    • Promotes and creates operational effectiveness and efficiencies in assigned areas to improve financial performance.
    • Determines quality, business and operational measurement criteria to monitor performance.
    • Ensures compliance with all regulatory bodies with jurisdiction over all assigned areas.
    • Establishes and follows standard bidding processes.
    • Determines and maintains a mechanism/process for price comparison and purchasing at lowest possible price.
    • Negotiates pricing for equipment and supplies
    • Works in matrix relationship with service line leaders to manage cost utilization and standardization of physician preference items.
    • Maintains efficient management of inventory, stocking and par levels in all areas serviced by materials management.
    • Institutes performance improvement and lean management techniques to reduce supply and inventory cost.
    • Responsible for regional supply chain oversight.
    • Is the organizational lead for the GPO.
    • Ensures compliance with the GPO rules/expectations.
    • Prepares appropriate reports based on GPO involvement.
    • Analyzes and validates cost savings through GPO.
    • Reviews requests for medical equipment, furnishings, supplies and other items to assure that requisitions are accurate and best pricing is obtained.
    • Consults with department heads to resolve discrepancies or to assist them in preparing requisitions for special items.
    • Analyzes market conditions and statistical data, interviews vendors, and reviews catalogs and other source material to obtain information on items for purchase.
    • Compares prices, specifications, and delivery dates, and directs the preparation and placement of purchase orders to merchandising firms or their representatives.
    • Reviews contracts for equipment and supplies.
    • Works with Facilities and Construction Department on all renovations projects and assures that furnishings are provided.
    • Directs periodic inventories.
    • Examines inventory records for accuracy and adherence to inventory control procedures.
    • Negotiates purchases to assure that purchases are appropriately bid, analyzed and priced.
    • Reviews records of purchases made over specific periods of time to determine methods of improving purchasing procedures.
    • Assures efficient and effective distribution to all on site and off site hospital departments.
    • Evaluates contracts and bids on a continuing basis.
    • Maintains accurate tracking and appropriate action with respect to all hospital recalls.
    • Maintains permanent record for FDA or recalls (exception: food & pharmaceuticals).
    • Maintains accurate tracking of all stored equipment, records storage, and sale of equipment for the entire hospital.
    • Assures that GPO (Group Purchasing Organization) pricing is accurate and commitment forms are up to date and accurate.
    • Is chairperson of the Forms Control Committee and the Product Committee.
    • Provides supply chain reports and analyzes as requested by the Executive Team.
    • Any other duties as needed to drive to the Vision, fulfill the Mission, and abide by the Values of the organization

    Qualifications

    • Bachelor's Degree preferred
    • Minimum of 5 years Healthcare supply chain experience required
