Overview
Alive Media seeks to hire a full-time employee to manage and oversee execution of system integration projects.
This position has three core competencies:
● Coordination and oversight of project installation (construction management)
● Management of field crew and subcontractors (typical crew of 4 to 8 workers)
● Audio/Video/Lighting for Performance and Presentation Spaces
This is the primary person responsible for the coordination of staff, materials, and other logistical needs required to successfully execute projects.
The project manager will participate in projects at all stages; from as early on as first meetings with the client, to project completion, with responsibility for projects throughout their post-sale installation phase. This employee is the primary person responsible for the coordination of staff, materials, third-parties and all logistical needs required to successfully execute audio/visual integration projects within allotted time and budget. Key measures of successful project execution are: client satisfaction, quality of workmanship, budget adherence, timeliness, team cohesion and alignment with company values..
ESSENTIAL RESPONSIBILITIES
- Layout timeline for projects, covering all company (internal) and client milestones in the project lifecycle.
- Layout and maintain the work schedule of employees in the field. Ensure work schedule is communicated and adhered to.
- Perform ongoing financial analysis of project costs to ensure budgetary objectives are met. Adjust project constraints as needed.
- Manage and communicate changes to the project scope, project schedule and project costs using appropriate methods.
- Verify that jobsite conditions and contract requirements are met, and work with appropriate parties to resolve issues.
- Ensure excellent workmanship by Alive Media through regular visits to job sites and collaboration with integration and design/engineering teams.
- Work with the design/engineering team to ensure project documentation is kept up to date throughout project integration, and properly finalized, packaged, and submitted upon completion of project.
- Measure project performance toward short and long-term goals using appropriate tools and techniques
- Assist in defining and developing project scopes and objectives, involving all relevant stakeholders and ensuring technical feasibility. This includes collaboration with sales and design/engineering staff and clients during project development phases.
- Collaborate with office manager to schedule and assign employees to non-project specific tasks and minimize gaps in work calendar
- Lead the ongoing development of internal processes and systems utilized by the integration team. This plan should use readily available technology that allows for efficient company-wide collaboration.
- Manage the relationship with the client and all stakeholders during the course of project integration.
- Communicate project progress, status, changes, or issues both internally and with client at regular intervals and as needed.
- Ensure availability of all human, material, logistical, and third-party resources.
- Directly facilitate or otherwise ensure any necessary communication between any parties, both internally and externally, related to Alive Media's scope of work.
- Establish and maintain professional relationships with clients (or client representatives) and third parties (such as vendors and other contractors).
- Meet with clients to take detailed ordering briefs and clarify specific requirements of each project.
- Place equipment and materials orders with enough time to effectively prepare for an installation, and to correct any errors with a delivery
- Track and verify deliveries.
- Minimize project risks.
- Report and escalate issues to management as needed
- Assist or perform installation or service calls as needed.
- Continually develop new skills in leadership, communication, and technical aptitude. Attend conferences and training as required to maintain proficiency.
- Overall responsibility of warehouse operations, including inventory maintenance, organization, and cleaning.
SECONDARY RESPONSIBILITIES
- Assist in scheduling and coordinating labor, equipment, and logistics, where Alive Media provides audio/visual production services.
- Occasionally perform engineering or technical support at events where Alive Media provides audio/visual production services. This includes but is not limited to: event design and quotation, equipment staging, loading, delivery, setup, production engineering, teardown.
- Help establish new processes and procedures to streamline operations and best utilize strengths of other staff.
- Perform other duties as assigned.
SUPERVISORY RESPONSIBILITIES
- Provide project-specific direction for foremen and project leads
- Layout employee work schedule and assign tasks
- Delegate project tasks based on junior staff members’ individual strengths, skill sets and experience levels
- Track job performance of individual field-based team members
ORGANIZATIONAL STRUCTURE
- Reports to - Design/Engineering Director
- Support staff - Level 1, 2, and 3 Installation Technicians
CERTIFICATES & LICENSING
- Currently hold (or obtain within 60 days of hire) AVIXA CTS Certification, CTS-I Highly desirable
- Project Management Professional (PMP)/ Prince II certification preferred
- Additional industry certifications such as: Dante, Shure RF, Yamaha Pro Audio, Extron AV Associate, etc. are a plus.
EDUCATION / YEARS OF EXPERIENCE
- 4 Years Project Management Experience
- Additional 4 Years installing and/or servicing and maintaining installed audio/visual systems (construction and construction management experience is also highly desirable)
- Bachelor Degree preferred
KNOWLEDGE, SKILLS & ABILITIES
- Team Management, Galvanizing, Coaching
- Advanced understanding of audio, video, lighting and system control, best practices and fundamentals, low-voltage wiring, as well as basic understanding of control systems such as Extron, Crestron, Q-Sys, etc.
- Intermediate level of proficiency in the use of business application systems including programs such as Google Workspace, Microsoft Office, etc.
- Intermediate level of understanding of IT and computer networking fundamentals, infrastructure and installation practices.
- Proficiency with reading, interpreting, reviewing, and writing contract documentation and architectural specifications..
- Excellent troubleshooting skills.
- Work well within a team environment and under strict deadlines.
- Strong organizational skills.
- Currently hold, or obtain an AVIXA (InfoComm) CTS certification within the first 2-months of employment.
- Ability to read blueprints/drawings/floor plans.
- Exceptional customer service and communication skills.
- Highly self-motivated (personal ownership of work and good work ethic).
- Strong written, verbal and customer service skills as well as strong interpersonal skills and the ability to work with various internal departments and personnel.

WORKING CONDITIONS
Approximately 75% of work will be performed in the field and the remaining 25% will be at the Alive Media shop. Use of a personal vehicle will be required. All mileage other than to/from home local commute will be reimbursable at federal rate (must have CA driver license and clean driving record). Ability to lift 50 pounds is necessary. Work on lifts, ladders or scaffolding as well as in ceilings, crawl spaces or other confined areas will be required. Full (or corrected to full) vision is required (close, distance, peripheral, depth, varifocal, color) on a daily basis.
