Medical office FRONT OFFICE MANAGER/RECEPTION
Role and Responsibilities: Medical practice with holistic healthcare providers, require a qualified person on our team to manage the front & back office and provide patients and multiple providers with the best professional caring service supporting the clinic’s excellence in health care. The manager has the ability to prioritize and organize the workload and the ability to multi-task to keep the office running smoothly and fosters a collaborative environment amongst the front desk staff and the practitioners. This position is solely responsible for the staffing of the front office at all times.
Hours: Monday - Friday & some Saturdays (25-30 hrs./week) with possible additional fill-in as vacation/illness relief for staff. This position works at least 1- 3 reception shifts per week in addition to the management duties to be an active part of the reception team. They are also responsible for the smooth operation of the back office including maintaining a clean, professional environment and maintaining the necessary supplies.
Essential Job Responsibilities
Front Office:
· Responsible for all front desk staff operating as a collaborative team with practitioners
· Maintain consistent front desk operations best practices and exceptional service
· Schedule patient appointments accurately with multiple practitioners: follow up calls, cancellations, rescheduling.
· Correspondence with patients via phone/email.
· Maintain office needs: stocked items, office supplies, misc. orders, etc.
· Track weekly metrics with accuracy
· Preparation of charts and accurate downloads of files
· Run errands to keep office running effectively and efficiently.
· Responsible for covering all front office shifts, including emergency absences and time off
· Operate according to all HR documents and procedures
· Responsible for all software used for scheduling, charting and POS procedures
· Train staff and trouble shoot all software platforms
· Hire, train, inspire and direct all front desk staff and shift teams
· Create and manage all social media, monthly newsletters and email marketing and marketing metrics
· Check for outstanding invoices
Back Office:
· Order products, IV supplies, lab kits, etc. and keep appropriate inventory of all essential products and procedural supplies for the clinic.
· Prepare IV bags when necessary
· Track patients with lab kits & schedule follow up appointments
· Note new patients with supplement orders and contact then with ordering options
Essential Front Office Duties/Knowledge
· Answer and respond to incoming telephone calls, emails and messages.
· Check in/check out of patients and collect fees for services rendered.
· Schedule patient appointments using an electronic health record, acquire and enter accurate patient demographic and health insurance information as well as post relevant documents to patient record on an ongoing basis.
· Cashier for vitamin and medical supplement sales and send follow up letters.
· Keep offices neat and clean
· Oversee additional individual responsibilities assigned to each receptionist such as social media/newsletter/marketing, product & water maintenance, customer service/records coordinator, analytics reports, etc.
Skills needed for this fast-paced office: :
· Ability to multitask while gracefully handling multiple demands is an absolute necessity.
· Strong familiarity with Windows-based computers is required.
· Understanding of healthcare insurance is a plus, with an interest in integrative and alternative medicine preferred.
· Strong customer service skills
· Excellent verbal and written communication skills
· Strong multi-tasking skills with superb attention to detail
