Admistrative Assistant
  • My Policy Shop
  • Grand Rapids, MI FULL_TIME
  • Overview:
We are seeking a highly organized and detail-oriented individual to join our team as an Administrative/Executive Assistant. You will provide administrative support, coordinate projects, and assist with various office tasks associated with a growing health and life insurance agency. We help people with their individual health insurance, Medicare insurance options, social security optimization, life insurance, and annuities. This is an excellent opportunity for someone who is computer-savvy, has strong organizational skills, and enjoys working in a fast-paced environment. This position is in-person with a somewhat flexible work schedule. You may need to work evenings from time to time, but you would be notified in advance. We have a VERY busy time of year from October through December that is similar to tax season for accountants. That time of year is ALL HANDS ON DECK and your presence is significantly needed. During the rest of the year, we still work, but it is much more relaxed, especially on beautiful Michigan days. You may also be asked to participate in community outreach events such as trade shows, charity golf events (we are not great golfers but we have tons of fun), client appreciation events, marketing events, and networking events. This is a full-time position that may lead into a more significant role as an agent producer, but if you love the job, you will not be forced into something else. We need you and hope to hear from you soon!

    Responsibilities:
    - Perform general administrative duties such as answering phone calls, responding to emails, cold calling prospects that respond to our ads, and maintaining an efficient office environment.
    - Assist with data management and bookkeeping
    - Coordinate and schedule meetings, appointments, and travel arrangements
    - Provide personal assistant support as needed.
    - Assist with event planning and coordination
    - Conduct research and compile information for various projects
    - Maintain confidentiality of sensitive information

    Skills:
    - Proficient in computer applications such as Microsoft Office Suite (Word, Excel, PowerPoint)
    - Strong administrative and organizational skills
    - Excellent project coordination abilities
    - Attention to detail and accuracy in data entry
    - Previous experience as a personal assistant or in a clerical role is a plus
    - Familiarity with office procedures and equipment
    - Ability to multitask and prioritize tasks effectively

    BIG PLUS

    - If you are currently licensed as and insurance producer

    - If you are familiar with CRM and managing a data base

    - If you are experienced with google or Facebook ads

    - If you are experienced in lead generation

    - If you have neat, cool, awesome, or perfect penmanship

    - If you are good on camera for social media posts

-If you are good with a camera, video or still

    - If you know how to run a trade show booth

    - If you have experience working in a medical, dental, insurance, or financial services office, it would be considered an asset.

Of the above, if you don't have those skills, you would still be considered an asset if you had the desire to learn, and could learn it quickly.

You will be required to obtain your insurance license. This is a non-negotiable and you will be required to obtain it within 90 days. You will not be required to sell, but you need to have a license in order to do specific things for the agents you will work with. If you have a desire to sell and produce, that would be great too!

If you are a motivated individual who thrives in a dynamic environment, we encourage you to apply for this position. We offer competitive compensation and opportunities for professional growth with bonuses for those that are willing to go all in.

To apply, please submit your resume highlighting your relevant skills and experience. Preference will be given to those that include a cover letter. Please be authentic and show off your writing skills.

    Pay: $18.00 - $25.00 per hour
