Basic Function: Serve as a member of the Student Records Office team as the first point of contact for customers seeking assistance in the Records Office. Prepare all graduation correspondence and processing of applications. Responsible for processing transcripts, maintaining accurate student records, telephone calls, and other various student requests. Maintain Records Office hours from 8:30 a.m. - 5:00 p.m. during the academic year. Otherwise, 7:45 a.m. until 4:15 p.m. on Fridays and during summer and academic breaks.
Salary & Benefits: $15.72 hourly in accordance with the salary schedule for Office Clerical. Benefits package includes Blue Cross/Blue Shield health insurance; eye care, dental, life and disability insurance; paid vacation and sick leave; and a choice of IPERS or TIAA retirement plans.
Qualifications: A minimum of one year of specialized post-secondary education or a minimum of one year of related work experience. Ability to work and organize assigned tasks efficiently and accurately in an atmosphere of frequent interruption. Ability to perform diversified office clerical functions including keyboarding (50-60 wpm with accuracy), filing, and operating office equipment; fluency in Microsoft Word and Excel is required. Have efficient and cordial telephone/receptionist skills, as well as demonstrated ability to effectively and cooperatively work with people in a team effort and easily interact with a variety of people. Must maintain a high level of integrity due to the confidentiality of the work.
Responsibilities:
Assist students and customers at Records Office window.
Prepare graduation evaluations, graduation correspondence, and degree processing of college credit programs including short-term programs.
Collaborate with Division Chairs, Academic Advisors, and Faculty regarding graduation applications.
Order and distribute diplomas in a timely manner.
Process and record the release of all college credit transcripts.
Process enrollment verification requests from the student portal and upon request.
Update college credit student addresses and cell phone alert updates.
Responsible for processing grade changes.
Maintain, troubleshoot, and update National Student Clearinghouse transcript and website processing.
Maintain changes in student social security number corrections and cell phone updates.
Schedule appointments for Registrar and Assistant Registrar.
Maintain later office hours for coverage during the academic semester.
Update Registrar's Office forms as needed to ensure updates and compliance.
Monitor office supplies and assist with yearly academic record retention compliance and inventory.
Shared responsibility for imaging Records Office correspondence.
Possess an understanding of all FERPA (Family Educational Right to Privacy Act) laws and all College policies related to student records.
Participate in appropriate meetings/workshops/classes related to the job at the request of the Registrar and Assistant Registrar.
Perform all of the duties of the Records Office assigned by the Registrar and Assistant Registrar.
Perform in a manner that strengthens the coordination and cooperation of all organizational components of the College, including opportunities for student recruitment.
