Medical Records Coding Manager supervises and trains a team of medical coders to ensure medical records are coded with accuracy and completeness. Ensures medical records coding operations follow the latest guidelines and compliance standards. Being a Medical Records Coding Manager maintains required documentation and confidentiality of patient records. Implements processes for coding operations that support the needs of other healthcare partners. Additionally, Medical Records Coding Manager develops and maintains up-to-date knowledge of the latest ICD and CPT coding versions and ensures coders receive updates and training on classification or guideline changes. Is a certified medical coder and the exact type of coding certification may vary based on the clinical setting or a medical specialty focus. Typically requires a bachelor's degree in healthcare administration, a related field, or equivalent. Depending on the setting typically requires the Certified Coding Specialist (CCS) certification. May additionally have the Registered Health Information Administrator (RHIA) credential. Typically reports to a manager or head of a unit/department. The Medical Records Coding Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be a Medical Records Coding Manager typically requires 3-5 years experience in the related area as an individual contributor. Thorough knowledge of functional area and department processes.     The Medical Records Specialist performs duties related to the receipt, scanning, indexing, and destruction of non-electronic health and administrative information. They assume responsibility and is accountable for adherence to WC policies and procedures, as well as all applicable federal and state laws as they pertain to healthcare and employment.  

    The Medical Records Specialist works 32 hours a week:

    Mon/Thu/Fri 8am-5pm

    Tues/Wed off

    Sat/Sun 7am-11am

    32 hours per week.

    This position is located onsite at the Fertility Center of Oregon.

    ESSENTIAL DUTIES

    • Accurately sorts medical record documents received daily; scans and indexes materials accordingly, in a timely manner and within established guidelines; ensuring the proper disposition of documents.
    • Scans and indexes documents into the EMR. Notifies supervisor of duplicate charts.
    • Processes internal and external requests for copies of medical records in a timely manner.
    • Opens, sorts, and distributes incoming mail and faxes.
    • Maintains storage and retention of paper charts.
    • Responsible for protecting Personal Health Information (PHI) and maintaining compliance with WCs Privacy Policy. Uses the minimum PHI necessary when completing assignments.  
    • Promotes, establishes, and maintains open and effective communications with all members of WC.  
    • Receives, organizes, prioritizes, stores, and maintains transmittable information utilizing electronic technology.
    • This position requires up to 10-20% travel to other WC locations. 

    SECONDARY DUTIES

    • Answers phones in a courteous and efficient manner, directing calls to the appropriate individual and taking accurate messages.  
    • Assumes responsibility for various department functions in the absence of staff members or in overload situations. 
    • Participates actively and helpfully in special committees as assigned by management and/or physicians.
    • Completes assigned competency and compliance training as assigned.
    • Any other duties as defined by management or physicians.


    Requirements

    EDUCATION AND EXPERIENCE

    High School Diploma or equivalent and minimum of one year of related medical experience; or equivalent combination of education and/or experience. Work related experience should be within the discipline of medical records.

    • Exceptional verbal, written, and interpersonal communication skills with the ability to apply common sense; to carry out instructions; and speak clearly to patients, employees, physicians, and management.  
    • Ability to deal with moderately complex problems involving multiple facets and variables in non-standardized situations.
    • Ability to work with no supervision while performing duties.

    WORK ENVIRONMENT AND PHYSICAL DEMANDS

    This job operates in a professional medical office environment. Requires the ability to work under pressure and with a diverse population including staff, physicians, patients, vendors, and other members of the public on a regular basis. This position will have frequent exposure to contagious diseases; bodily fluids including blood; toxic substances; medicinal preparations and other conditions common to a clinical environment.

    • Frequently required to stand, walk, and/or move about the office to assist physicians, patients, and to accomplish tasks.

    • Rarely required to have full range of body motion in order to assist, move, and/or lift patients. (75 pounds.)
